**Job description**:
As an Executive Assistant you will provide administrative support to two Senior Civil Servants (SCS) within one of the DDaT Directorate Private Offices. This is an excellent opportunity for the post holder to gain experience working as an integral part of the private office network across DDaT, gain experience of working with senior leaders and being a visible representative for your business area’s Private Office. Your role will contribute to supporting the delivery of high profile, transformational technology projects, whilst providing administrative support to senior managers, at a time of unprecedented technological and political change.
The role requires a hard-working and enthusiastic individual with a flexible and collaborative approach to their work. You will be someone who can work well as part of a successful team and are equally comfortable working independently. In this role, you will be making a positive contribution to the overall success of the business area. This role suits a self-starter who can follow work through to completion with, at times, limited oversight but is able to draw on their support network when required.
Private Office roles traditionally align to the Civil Service Policy profession, however the skills required for these roles in DDaT affiliate closely with those found in the Civil Service Project Delivery Profession.
Hybrid Working
Hybrid working enables employees to work partly in their workplace(s) and partly at home in line with the Home Office Hybrid Working policy. A hybrid working pattern may be available, where business needs allow for this role. **Person specification**:
Your main day to day responsibilities will include:
- Scheduling diary engagements and room bookings, providing guidance and advice on how to optimise timings. Working proactively to resolve scheduling conflicts & prioritising issues effectively to meet challenging deadlines.
- Ensuring work is commissioned out effectively, collating meeting papers and briefing information in advance of meetings to ensure the SCS / senior leader is informed and prepared.
- Providing secretariat support on a rota basis for Board and Senior Meetings as required. Drafting accurate minutes and actions for review, ensuring they are distributed in a timely fashion and feedback is incorporated to ensure an agreed version.
- Working closely with other Executive Assistants across DDaT to provide all round support and cover during periods of absence.
- Developing a sufficient understanding of the directorate to provide wider support as required.
- Recognising the sensitivities and reputational impact of your role and developing an understanding of the wider DDaT business to support the SCS / senior leader’s priorities.
