Repairs Administrator

A large housing association is currently looking for a Repairs Administrator on a tempoary basis for 1-2 months
Key responsibilities are as follows
Work with colleagues in the local Asset and client teams to ensure all stakeholders are kept informed of planned, reactive and void work. Provide telephone support, taking enquiries from contractors and customers, forwarding where appropriate.
Support the Assets team to Project manage complex works within all aspects of planned and reactive works including arranging inspections, raising PO’s, liaising with residents & contractors.
Review all referrals received for Local Asset Team. Undertake desktop assessment if possible and allocate referrals to appropriate resource within Asset Team and larger department.
Update and maintain accurate records of property maintenance and cost including information held on Northgate and compleat and property database systems for repairs, voids and planned works.
Support the client teams to manage a quick turnaround of voids, by carrying out the relevant Asset team administration. Arranging compliance inspections including gas, electrical, EPC & Asbestos as well as managing inspectors diary for void pre-inspections.Taking oversight and responsibility for placing relevant works out on the tendering portal for competitive quotes for category 4 voids works
Attend Void contract meetings to discuss progress / issues with the contractor and Void inspector and provide updates to the client teams.
Provide the client teams with a handover pack containing keys, compliance c Support the Assets Team with regular cost and quality audits for all planned, responsive repairs and void works. Raise P/O orders as required for Asset team including major works,tendered works and voids. Certification and handover documents to enable the property to be let.
Organise and take an accurate record of meetings and events as required, including drafting agendas, taking minutes, booking rooms, refreshments and collecting visitors.
Support the teams to ensure our customers’ homes are safe and the company is compliant with our health and safety requirements
Essential requirements
Must have had a solid administrative backgound in housing, preferably with experience in Repairs
Must be immediately available or on short notice
