To implement a national business support strategy within your responsibility area, as well as contributing to the firm-wide strategy, which will include: ensuring the organisation has the right levels of administrative support which is trained to delivera high value service to drive quality and growth; appropriate Health and Safety provision; an up to date location business continuity plan; and oversight and qualitative assessment of the outsourced facilities management service.
It is envisaged that this role will be predominantly be office based and will provide Personal Assistant support to a minimum of three partners and/or directors, accounting for approximately 70% of the time and other 30% will be office management activities,including managing a small team including front of house and other office support roles.

Ensures consistent high quality service delivery, strong sense of team within the responsibility area, but also as part of the firm-wide national business support team and management team, with the objective of pooling resource and getting involved in nationalprojects. Some interoffice travel may be required
Ensures that the office has an up to date location business continuity plan and that all health and safety requirements are met to provide a safe and healthy working environment
Ensures that facilities management service is providing the service required by the business, is cost effective and that the office premises are maintained to the standard expected of a professional services firm
Ensures the right support and facilities are leveraged at the right time and by the right people in a manner which provides commercial value to the organisation.

Provide support and guidance to the current HSO (health & safety officer) ensuring all health & safety policies and procedures are adhered to. Monitor compliance, escalating if/when necessary. Potential to take the role of HSO in the future

Be a fire warden and first aider to assist with essential cover for the office and wider business (training will be provided)

**A**look into the role**

As a Business Support Office Co-ordinator you will:
**Operations**
- Ensure the business support people are providing a high-quality service which is consistent across the team
- Resource manage the business support team to ensure that there are no gaps in service, ensuring appropriate use of the Specialist Services Team (SST), pooling resource wherever possible, liaising with other Business Support Managers and Management Assistantsto share resource across the firm
- Manage budgets for the Business Support team and deliver a commercial service demonstrating value for money
- Ensure all aspects of Health and Safety requirements are provided, including ensuring the required number of first aiders and fire wardens are in place (of which you will be one of), ensuring the office is compliant with the latest health and safety policy,including regular health and safety and fire risk assessments and maintaining safe working environments
- Ensure your responsibility area has a location business continuity plan and there are emergency response teams who are informed, kept up to date and tested
- Ensure that our outsourced facilities management provider is delivering a commercial, fit for purpose and responsive service to your area of responsibility
- Monitor business support performance levels and identify areas for improvements and efficiencies
- Develop and embed process improvement audits across all operational activities to enhance the service and drive quality

**People**
- Lead the Business Support team across your area of responsibility, providing guidance and direction
- Ensure that the performance management cycle is adhered to, providing guidance on goals that will stretch and develop team members to meet the business needs
- Identify areas of development and ensure that team members are given the opportunity to attend appropriate workshops and other learning interventions
- Coach team members when required
- Review and ensure team structure is appropriate to deliver optimal service and actively engage in recruitment as agreed by the business
- Work with the other Business Support Managers/Management Assistants/Office
Co-ordinators to drive high levels of professionalism across the business support team ensuring confidentiality is adhered to, our brand is communicated effectively, and that quality is at the heart of everything the team does
- Adhere to and ensure the team adheres to the Firm's risk management policies

**Internal Clients**
- Devise and deliver an appropriate and effective stakeholder engagement plan for your area of responsibility
- Monitor and track feedback from key stakeholders and identify issues and trends and respond quickly with appropriate service enhancements
- Be a point of escalation for all senior level complaints and work to find pragmatic solutions

**Partner, Director and Team Support**
- Provide Personal Assistant level support to a minimum of three partners and/or directors
- Ensure good understanding of the partner’s and team’s strategy and relevant goals, looking for opportunities to add value
- Superuser of Word, PowerPoint and Excel to support delivering client reports, presentations, and proposals in line with Firm's templates and corporate style, and challenging others to ensure they are used consistently, if required
- Full diary management, actioning invites on partner’s/director’s behalf
