As our Strategy and Planning Administrator, you will provide an administrative service for the ICB Strategy and Planning team, working across our organisation. You will be responsible for coordinating administrative activities for the team, including scheduling, circulation of papers and minute taking. Efficient invoice processing will also be required. The post holder will be a point of contact for dealing with Strategy and Planning inquiries and as such will require excellent communication, organisational and analytical skills.
**As our Strategy and Planning Administrator, you will**:

- Take overall responsibility for the provision of a comprehensive, efficient and high quality administration and project support service to enable senior managers across the ICB to deliver services effectively.
- Support the development, implementation and running of designated projects to progress the strategy and planning delivery across the ICB
- Manage high-level co-ordination and communication between staff at all levels in order to produce papers and reports for meetings and key stakeholders.

The Integrated Care Board (ICB) is a statutory body responsible for local NHS services, functions, performance, and budgets. The ICB works with local providers of NHS services, such as hospitals and GP practices, to agree a joint plan which says how the NHS will contribute to the local integrated care strategy.

The Strategy and Planning Team are a collaborative ICB team, based at Haylock House in Kettering, but working in a hybrid way. We contribute to the planning of services across the health economy and through delivery of the Integrated Care Northamptonshire (ICN) 10-year strategy, support people in Northamptonshire to live their best lives, with a focus on getting the most from the use of medicines.
- Develop and maintain effective systems for collating and managing all programme documents.
- Maintain timely and accurate outputs for all work making judgements involving facts or situations with require analysis or comparisons.
- Ensure that administrative and project support services are provided in a timely and efficient manner. This will include a wide range of duties from routine, arranging and co-ordinating meetings/workshops minute taking, to exercising personal and professional initiative.
- Manage and co-ordinate electronic diaries, organising and scheduling appointments to make best use of time management.
- Organise and administer meetings, ensuring agenda, minutes and papers are distributed in a timely manner, and to take accurate notes at the meetings, both virtual and face to face meetings.
- Co-ordinate the preparation of agendas, briefing papers and reports as required within tight deadlines. Track and monitor progress in actions.
- Manage and prioritise all incoming and outgoing correspondence, initiating responses on behalf of senior staff where appropriate and ensuring action required is undertaken within deadlines.
- The postholder will work collaboratively with other administrative staff to ensure resources are used flexibly to meet the demand, including providing assistance in times of particular pressure in any area to maintain timely and accurate delivery of outputs.
- Plan for situations, which are known; and have the ability to re-prioritise work to accommodate unexpected situations and interruptions.
- Be able to work independently on all aspects of role, exercising maximum autonomy and control whilst recognising when it is appropriate to seek advice or assistance from a senior member of staff.
- Use tools and methods made available to you to pro-actively plan and prioritise your workload to ensure deadlines are met.
- Select, retrieve and collate papers and information for meetings, enquiries and other activities of senior staff in an orderly and timely manner, and in relation to the high volume, complexity and sensitivity of the workload of those staff.
- Manage conflicting demands within the job role on a regular basis, for example, constant interruption to deal with queries and telephone calls.
- The post holder will provide training in own discipline and in own work practices.
- The post holder will undertake surveys or audits as necessary regarding their own work.
