As an Administrative Assistant at GreenZone, your primary responsibility is to provide essential support to our team and organization. Collaborating closely with colleagues across various departments, you will play a crucial role in helping us achieve our company's goals. We seek individuals who demonstrate enthusiasm, proactivity, leadership, and professionalism in their work.
- **Main Duties and Responsibilities**_
- Respond to public and customer inquiries in a friendly, polite, and helpful manner.
- Welcome and assist visitors at our head office, directing them to the appropriate destination or contact person.
- Assist operations (periodics, mobile team and ops calendar, order supplies and consumables, etc.)
- Monitor visitor access and maintain security protocols by ensuring all visitors sign in and out.
- Support the Administrator in uploading site documents, including RAMS, COSHH, quality audits, and training records, to the helpdesk.
- Handle printing, binding, and laminating of materials such as forms, calendars, procedure books, and posters.
- Assist in updating and maintaining records, such as site binders, training spreadsheets, and site documentation.
- Aid in organizing company events as needed.
- Prepare general correspondence and documents using Microsoft Office to support Operations Managers.
- Provide administrative and clerical support, including filing, packaging, franking, and postal services.
- Set up meeting rooms for various meetings, including arranging refreshments.
- Answer telephone calls and redirect them appropriately or take messages.
- Execute assigned tasks professionally and efficiently.
- Comply with all requests from line managers and adhere to health and safety protocols.
- Demonstrate friendliness, helpfulness, and politeness to all individuals encountered.
- Adhere to the company's strict no-smoking policy and environmental protection initiatives.
**Additional Responsibilities**:
- Be willing to perform duties outside of the specified role as required by the company.
**Qualifications and Skills**:
- High school diploma or equivalent; additional qualifications in office administration or relevant field is a plus.
- Proven experience in administrative roles or customer service positions.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication skills, both verbal and written.
- Attention to detail and accuracy in work.
**Working Conditions**:
- Full-time position based in London, UK.
- Regular office hours with occasional flexibility required for events or meetings.
- Ability to work independently and collaboratively within a team.
