Finance Officer

**Hours of work**: 30 hours/ week
**Salary**: Up to £20,108 pa for 30 hours per week
**Holiday**: 27 days (pro rata) per annum plus bank holidays

**Primary Responsibilities**
- Purchase Ledger including communication with suppliers to ensure all accounts are reconciled and accurate. Responsibility for obtaining authorisation and posting of bills to the purchase ledger and all payments to suppliers via bank transfer, cheque and debit/credit card
- Sales ledger including setting up new customer accounts, raising contract and service invoices and managing credit control. Processing credit card payments and providing proof of payments/receipt to customers. Record income generated from Druglink diversion scheme card payments and trainer bank deposits. Record income from Druglink’s social enterprise both cash and card payments. Reconciliation as necessary of all associated sales sheets/spreadsheets
- Residential fee management. Working with Druglink staff to ensure all new customer/client information is collected and payment mechanisms are in place for placements in Druglink services. Resolving issues with payments and reconciling payments from customers, raising invoices as required.
- Housing Benefit payments. Reconciling incoming housing benefit payments for Druglink housing. Maintaining links with housing benefit teams to ensure all payments due are received and any discrepancies investigated. Ensuring that all payments are recorded in the property database and Quickbooks.
- Personal contributions management. Working with Druglink workers to ensure residents in Druglink housing pay their personal contribution payments. Highlighting arrears to appropriate workers and management, putting in place payment plans for residents. Ensuring that all payments are recorded in the property database and Quickbooks.
- **Management of Druglink petty cash system**. Analysis and posting of petty cash from Druglink services on a monthly basis.
- **Processing payroll for Druglink.** Working with Druglink’s Operations co-ordinator to supply Druglink’s external payroll company with complete and accurate salary information. Ensure payments are set up and ready for authorisation in a timely manner. Respond to Druglink staff payroll queries.
- Bank statement and credit/ debit card reconciliations.
- Posting and payment of staff personal expenses.
- Assisting the Director of Finance with the creation and completion of the weekly & month end accounts, audit files and budgets/ forecasting.
- General finance administration such as filing and archiving material when financial year is complete. Assisting Druglink services with finance queries and project financial reporting.
- Attend and contribute ideas at team and other Druglink staff meetings.
- Any other tasks as deemed appropriate by the organisation.
**Personal Specification**
- **Qualifications & Training**_
- Essential:_ Educated to GCSE A-C or equivalent certified experience/ qualification. AAT level 2
- **Experience**_
- Essential:_ 2 years’ experience in an all-round finance role where the applicant has held full responsibility for managing purchase and sales ledger. Ideally within a multi-service, busy environment and a role where they have had to “hit the ground running”.
Experience of working within a reporting environment, able to clearly and concisely highlight achievements and concerns.
- Desirable:_ Experience of using Quickbooks up to management reporting level.
Knowledge of the 3rd sector/ charity accounting requirements/ guidelines.
Previous experience of working with housing benefits and rents/ tenancies.
Creation of interim management accounts.

- Desirable:_ Previous experience of Smart Property Manager or Subscriber.
Can demonstrate a willingness to learn about the work of the charity beyond their own role.
- **Other requirements**_
- Essential:_ Willingness to work flexible hours on occasion and as service requires.
- Desirable:_ Clean driving licence. Willingness to get involved in Druglink fundraising activities.
