**MacGregor Black**is currently partnering with a **Large Food Manufacturer ,** on the search for**Payroll Officer / Accounts Advisor.**This is a permanent role based in**West Lothian.**

**Key Responsibilities**:

- Manage payroll deadline ensuring everyone is aware of the dates and put in calendar entry for team then finance to authorise
- Issue payroll report for managers to check overtime and absence submissions
- Sick pay calculations and chase up and process any missing data, fix errors in data entry by managers
- Maternity / paternity calculations and confirmations
- Process and calculate salary changes, overtime, allowances, step up, bonuses
- Add and calculate wage arrestment
- Process on payroll and order childcare vouchers
- Draft new employee contracts and offers
- New employee salary calculations and add to the system
- File check and right to work check
- Assign managers right for access to any new employees
- Assign pension scheme and upload to pension provider database
- Process pension opt outs and refunds
- Manage pension payment submission
- Ensure international payroll changes are processed and French data sent to Angela
- Process expenses sent by finance
- Termination letters, final payment calculations, system updated to remove leaver
- Post P45’s
- Notify IT or new starts and leavers and monitor return of IT equipment
- Updated e-learning on new starts and leavers
- Check if leavers have a credit card and inform finance that they are leaving and set date for return
- Payroll queries and questions (1 day response)
- Monitor legal payroll changes - statutory rates of pay / update system
- Manage payroll relate company information / intranet pages
- Benchmark salaries
- Gender pay gap reporting, collate relevant payroll data for this regulation
- Daily reporting - 10am numbers
- Daily monitoring of staff movements, plan ahead for future movements
- Weekly reporting - Monday morning finance report, hours worked to Marina & Peter’s absence tracker, system end of week processing, S&OP Slides, agency hours
- Agency payments - monitoring pay rates and incentive payments
- Monthly reporting - dashboard, payroll journals, French report, org chart, intranet update, interim / part time trackers etc
- All ad hoc reporting for all functions, vaccine rates / recruitment rates / system reporting / national statistics / finance requests
- Lead sickness management / Analyse key trends in absence in order to understand & reduce
- Manage sickness / daily fit note tracker monitoring / call employees daily for updates for planning
- Chase up missing return to work forms and highlight to team any disciplinary action or concerns e.g., accident at work
- Covid Vaccine monitoring - ad hoc process data when received. Monthly reporting.
- Occupational health - mandatory surveillance. Monitor lapse dates, book in OH days, coordinate day.
- Probation reviews / training sign off - salary increases
- Annual salary review
- Annual Pension review
- Complete pension re-enrolment when required
- Invoicing and PO’s processing - reconcile budget against spend
- Forum Minutes
- Clocking implementation
- Manage all inboxes ensuring everyone is responded to on a daily basis
- Help with ad hoc projects, engagement & recruitment
