**About the role**

The operations Assistant’s main roles are organise, optimise and co-ordinate the day to day operational activities carried out at the facility, for accurate data input, production of daily and periodic reports, general administration required within the depot’s operations.

Responsible for day-to-day despatching of operators to refuel aircraft ensuring our customer requirements for fuel quality, safety, environmental protection and service levels, are met.

**This is a part time role working Monday - Friday 25 hours per week until January 2025.**

Key areas of responsibility

**Primary Accountabilities**
- Stock Accounting System - ensure accurate and timely input. Collate data and enter into system, print, check, send, backup and file daily. Compile accurate mid and month end reports. Deal with enquiries from relevant third parties/customers in an efficient and timely manner.
- Stock Management - Support Manager in monitoring of stocks, liaise with fuel suppliers, as agreed with Site Manager, to ensure that stock levels are maintained
- Organise airside passes for all visitors to site, escort, meet and deal with all visitors in an efficient manner, providing site induction as required
- Provide general administration support to Manager and Supervisors, which will include taking calls, dealing with correspondence, photocopying,, ordering stationary and other items required for the site, typing reports and meeting minutes.
- Maintain list of key dates in relation to staff, which will include airside medicals, surveillance tests and other requirements, making arrangements as required by the Manager
- Be point of contact for radio communications with operating staff and customers.
- Assist as required with the preparation of purchase orders and assist with general financial control.
- Maintain site filing system

**Shared Accountabilities**
- Assist with stock control activities and communications to provide an effective and efficient stock accounting operation at the site.
- Assist with receipt of incoming fuel deliveries (once fully trained), as required
- Responsible for assisting in maintaining safe working environment and practices at the airfield including proactive action on HSE matters, which will include helping to maintain good housekeeping and tidiness around site
- Assist with site Permit to Work requirements.
- Assist with accidents and incident investigations. Use the near miss procedures and assist to ensure all preventative measures are carried out by agreed target dates.
- Assist as required with any audits carried out by the company, partners, customers or other authorities.
- Help to support and play a positive part in customer service, monitoring performance of fuelling service to customers and assist in reporting findings on any complaints and implementing any corrective or preventative measures to prevent re-occurrence
- Take an active part in ensuring the companies HSSE expectations are met at all times during all activities.
- Assist in maintaining, documenting and participating in effective Safety, Quality and Management systems, Incident Reporting DSE Assessments, training, COSHH, site duty of care, Fixed Plant & Vehicle Planned Maintenance and Defect System.
- To help ensure operations comply with North air HSSE procedures and Golden Rules. Confirm standards through regular self-auditing. Ensure all records are kept in accordance with company and statutory requirements.

**Skills and experience**:

- Previous experience in an Administration role, preferably within an Operational environment
- Confident Communicator
- Strong Team Player
- Highly organised, with ability to prioritise own workload
- Computer literate, able to use Word, Excel, Microsoft Outlook

**Job Types**: Part-time, Fixed term contract
Contract length: 3 - 4 months

Pay: £16,000.00-£17,680.00 per year

Expected hours: 25 per week
