This is an exciting opportunity for an enthusiastic and motivated person looking to develop skills in health care administration. We are looking for someone to provide support for our Maternity risk Team to help with the smooth running of the service. You will be an integral part of the team helping to provide a safe service to all women who plan to have their baby at North Middlesex University Hospital.

The post involves working with sensitive issues following unexpected outcomes which may at times be challenging, however the team is experienced and supportive.

Maintain a professional standard of administrative skills and clerical support including electronic diary management, arranging meeting agendas, collating of data using EXCEL and accessing medical records both electronically and manually.

Have a good standard of minute taking for various meetings, sometimes discussing sensitive issues.

Have a friendly and approachable manner towards colleagues as well as women and their families.

Efficient and organised electronic recording keeping and communication systems, maintaining confidentiality throughout.

Works as part of a team but also able to work independently when required.

Have excellent time management skills and be able to prioritise tasks by urgency.

Identify areas for professional growth on development to benefit oneself as well as team performance.

This role would suit an administrator who is willing to grow and learn, has an eye for detail and enjoys being organised and methodical.

You will need to be adaptable and responsive to the role, and remain professional at all times.

Our Trust has staff accommodation in North London, and is situated within easy reach of London rail terminals, We are in Zone 4, making travel to work on public transport less expensive than going into central London.

We currently look after 4700 births per year and book over 5000 women for antenatal care. Our improvements over the last 18 months have seen us receiving praise from NHS Improvement regarding our committed approach to supportive management. A CCG Insight visit noted the improvements in morale and culture, with staff reporting good support and a culture of learning rather than blame. Our Bereavement Service received the RCM award for Bereavement care in 2018. As of June 2021 we received the Capital Midwife Preceptorship Mark. Our maternity service now receives 5 star reviews on NHS choices

Core responsibilities

The following responsibilities are generic to all administrative roles within the North Middlesex University Hospital NHS Trust.
- Develop and provide support in a professional manner for the department.
- Respond to enquiries in a friendly and courteous manner, resolving issues where possible or escalating to an appropriate team member when required.
- Communicate effectively and use appropriate interpersonal skills with people both internally and externally, maintaining the professional reputation of the Trust and department at all times.
- Portraying a professional image, maintaining confidentiality at all times.
- To continuously contribute to the progression and development of the chosen department through the provision of a high quality service.
- The post holder will be expected to complete all mandatory training provided.

Main Duties and responsibilities Specific to Risk & Governance Business and Administrator
- Highly motivated and enthusiastic individual to provide and coordinate administrative and secretarial services; including for example the preparation of agendas, minutes and action trackers, taking appropriate follow up action(s) as required.
- To support the team to ensure compliance with NHS Resolution, Healthcare Safety investigation Branch (HSIB), CQC, particularly in relation to the functioning of the risk register, incident reporting, complaints and claims. Particular focus should also be around lessons learned and changes in practice
- To work as part of a team alongside other clerical staff within the department and to be part of a wider multidisciplinary team delivering a high quality service to other staff and patients.
- Accurately input, retrieve and collate information using departmental and Trust computer systems in a timely way being mindful of data protection at all times. This includes extracting and displaying data stored within the Datix database.
- Good Knowledge of Microsoft Office (Word, Excel and Powerpoint) and other programming skills to fully utilize the Maternity software systems.
- To undertake clerical support e.g. photocopying, typing and retrieval of documentation in line with Trust and departmental procedures.
