This vacancy is to provide essential support for two businesses:
- Parkside Garage; and
- Garage Vitals.
Both of these businesses are continously growing, and we are looking for an organised, driven and consciencous person to maintain order as we grow.
You will work alongside the business owners, with access to sensitive information which will require professionalism and confidentiality at all times. You will be responsible for making sure the bookkeeping, administration and management systems are correct and up to date at all times.
The owners have always managed these tasks, and the time has come to create a new role for someone with expert knoweldge to take ownership of these tasks. We are flexible in designing processes with your input, that work best for you and the businesses.
We use an external accounting company, and have 3 employees processing invoices for customers, your role will be to pull of this together and manage the operational details.
Some examples of the tasks include:
- Processing payments, invoices, income and receipts and entering data into accounting software or databases
- Preparing financial statements showing business income and expenditure
- Paying vendor invoices and tracking bank account balances
- Completing VAT returns
- Verifying the accuracy of business accounts and alerting the Accountant of errors
- Recording any inconsistencies to help the Accountants reconcile inaccuracies
- Developing monthly financial statements including cash flow, profit and loss and balance sheets
- Preparing employee wages
- Managing employee expense claims
- Helping the Accountant with administrative duties and preparing yearly accounts
Experience of using Xero is desirable, and you will also be introduced to a Management System called Garage Hive.
As you get more familiar with your Bookkeeper tasks, you will be asked to add the PA duties, these are are key to the value of the role. For example:
- reminding the manager/executive of important tasks and deadlines
- typing, compiling and preparing reports and correspondence
- managing databases and filing systems
- implementing and maintaining procedures/administrative systems
- liaising with staff, suppliers and clients
- collating and filing expenses
- miscellaneous tasks to support the managers
This vacancy is a 9-5 Monday to Friday work pattern, but there is some flexibility available.
