Risk and Compliance Administration Officer

This post will provide administrative support across all the teams within the Risk and Compliance Directorate in the provision of an effective, comprehensive and confidential administration service across the varying Directorate teams; Compliance, EPRR, VAPR, Health and Safety, Datix and Legal, Assurance, and Business Support services as well as supporting specific projects/tasks as required by the Risk and Compliance department teams and the Director of Risk and Compliance/Associate Director of Risk and Compliance as and when required. It would be advantageous if the post holder has an IOSH certificate and risk management experience.
The post holder will be expected to work accurately under pressure with the ability to manage and prioritise own workload in line with Directorate objectives.
You are responsible for the day-to-day supervision and management of lower banded staff within your team. As required by your manager, this may include ensuring new staff are appropriately inducted, that staff receive appropriate supervision, have an annual appraisal and are compliant with mandatory training requirements. Where appropriate this may include the requirement you manage these staff in line with agreed Trust HR processes.
You will be expected to work collaboratively with key partner organisations, internal and external stakeholders maintain a professional image of the Trust at all times.

- To coordinate development of and ensure that all relevant documentation and supporting papers are available for the Director / Associate Director in advance of meetings, bringing to their attention any problems/issues of concern which they ought to be aware of.
- To co-ordinate and prepare the administration of healthroster and expense claims of staff reporting to the Director / Associate Director.
- To provide continuity of support and cover during annual leave or sickness of the PA to the Director and Associate Director of Risk and Compliance.
- To prepare, in draft, routine correspondence and reports on behalf of the Director / Associate Director in accordance to agreed priorities.
- To be responsible for preparing notification of meetings, producing and circulating agendas, papers and minute taking as appropriate.
- To be responsible for training directorate staff to facilitate and minute take in line with Trust standards.
- To maintain good working relationships with other staff within the Risk and Compliance departments providing continuity of cover during periods of staff annual leave or sickness.
- Ensuring that all information is entered onto Trust systems in a timely manner and support the department’s teams with their systems ensuring that all records are kept up to date and maintained.
- To be responsible for the initial collection and collation of information required in respect of responses to queries, requests, compliance functions ensuring that the relevant team’s managers are aware f any deviations from set timescales, in a timely manner.
- To assist in preparation for EPRR responses and functions, helping log meetings, maintaining action logs and acting as loggist as and when required.
- Will be part of rota for monitoring EPRR/Compliance mailboxes and communication routes.
- To manage own workloads within the departmental protocols and guidance.
- Assisting teams to deliver and implement strategic plans across the department.
