**JOB SUMMARY**
The role of the Postgraduate Medical Education Department Education Programme Coordinator is to organise and administer doctors in training curriculum related activities including teaching programmes, meetings, inductions, assessments, clinical exams, supervisionarrangements and related documentation. This will require the development and provision of effective education programmes for postgraduate medical learners to meet the needs of their training programmes. The role will require regular contact and communicationwith both learners and supervisors. The role will offer a variety of experience with regard to duties and in addition to managerial responsibility for an education programme (e.g. foundation year one programme), will encompass various responsibilities forproviding support to the PMED Lead and Directors of Medical Education and also other components required for the successful delivery of high quality Postgraduate Medical Education. In addition the postholder will be required to present a positive image andpromote the Education and Conference Centres as first rate facilities.
**Duties**
- Organise and facilitate junior doctor curriculum related activities including teaching programmes, meetings, inductions, assessments, clinical exams and related documentation.
- Plan, organise and publicise events and meetings as required
- Attend Local Education Training Board (LETB) and Centre business related meetings within and outside the Trust to meet the needs of the Service.
- Support Clinical Leads / Programme Directors / College Tutors with the organisation and co-ordination of arrangements for educational opportunities for all doctors in training including those in both HEE funded posts and those in trust funded posts
- Act as a point of contact for educational programme enquiries, dealing and responding effectively to sensitive and complex queries, passing on relevant information to appropriate team members and clinical leads
- Work autonomously to plan and coordinate educational activites taking into consideration the internal and external factors including
- Participate in the management of arrangements for corporate and local inductions.
- Liaise with medical HR / HR recruitment / rota coordinators to maintain and develop complex spreadsheets and supporting materials to manage the allocation of doctors to posts/rotations
- Monitor doctor’s attendance, identifying individuals failing to meet required targets and reporting attendance figures to the Training Programme Director or College Tutor.
- Organise structured teaching programmes which meet the requirements of the specialty training programme curriculum.
- Develop and implement methods of evaluating teaching, assessing and feeding back results to the Training Programme Director / College Tutor / Course Organiser.
- Undertake project and development work for the PMED management team to enhance the quality and provision of clinical education
- Organise key meetings between learners and trainers when necessary, including the preparation of agendas and minutes, taking appropriate follow-up action as required.
- Organise short courses, events and Royal College Exams as required by Clinical Leads, College Tutors and course organisers, booking dates and speakers/facilitators and patients and liaising with Royal Colleges.
- Arrange catering, audio-visual and other facilities in connection with the above, ensuring high standards are maintained at all times
- Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner to ensure trainee and any patient safety concerns are addressed.
- Publicise and distribute details of teaching programmes, short courses and events, developing marketing materials using a variety of resources including IT.
- Maintain accurate records of course finances including all income and expenditure ensuring that invoices are submitted for payment on a timely basis. Monitor course income
- Provide secretarial and administrative support to the PMED management team including, diary management, minuting of various Trust and local committees, database maintenance (trainer & trainee in particular)
- Maintain and develop filing and archive systems, both PC and hard copy based.
- Update PMED portal and other platforms as required.
- Cross cover where necessary for other Education Programme Coordinators / Education Centre Administrators / PMED PA
- Contribute to the development of standard operating procedures for the PMED
- Review and develop evaluation systems for medical education activities offering recommendations for improvements when required
- Create regular reports on education and training including information on the progress of doctors
**Person Specification**
- Experience of drafting agendas, letters and layouts.
- Proven secretarial and administrative experience
- Knowledge of Medical terminology
- Excellent written and verbal communication skills
- Experience of communicating with a range of different professional groups (both clinical and non-clinical)
- Effective diplomatic interpersonal skills
- Recognises own role as part of an effective team
