Operations & Scheduling Coordinator

This role requires 2 full working week days and on-call cover one weekend day, per week. On-call is a fixed £100 rate.
We’re seeking a highly organised and tech-savvy Operations & Scheduling Coordinator to join our office team on a part-time basis. This is a key role responsible for coordinating shift schedules, maintaining accurate administrative records and ensuring day-to-day operations run smoothly.
This role will suit someone who enjoys problem-solving, thrives in a busy environment, and has excellent communication and IT skills.
**Key Responsibilities**
- Manage and maintain weekly rotas using our scheduling software.
- Assign shifts based on worker availability and provider needs.
- Coordinate ad-hoc and last-minute cover requests via scheduling software, WhatsApp, and phone.
- Communicate effectively with care workers and providers to confirm shift details and updates.
- Ensure worker documentation and training records are complete and up to date.
- Maintain accurate records on Excel and within Microsoft Teams.
- Provide weekend on-call cover 1 day per week
- General administrative duties to support the wider operations team.
**Skills & Experience Required**
Strong IT proficiency, particularly with:
- Microsoft Excel (data entry, tracking, basic formulas)
- Microsoft Teams (file management and collaboration)
- Scheduling/rota software
Strong organisational and problem-solving abilities — able to think on your feet and prioritise effectively.
Experience in a staffing, scheduling, or operations role (care sector experience desirable but not essential).
Attention to detail and a proactive approach to work.

Pay: £12.60 per hour
Expected hours: 16 per week
