**Reporting to: The Administration Team and C.E.O.**

**Responsible to: C.E.O/Board of Trustees**

**ROLE**

To support and assist the C.E.O. and Administration Team in all aspects of Administration/Secretarial Duties. The list below is not exhaustive and may vary.

**KEY TASKS**
- The Administration Assistant shall be the first point of contact for all staff and relatives visiting the Administration Office and should either deal with enquiries or direct caller to the most appropriate person on duty.
- Answer all telephone calls and/or direct caller to the most appropriate person. Check voice mail messages and pass to appropriate person.
- Post - Open, date stamp and sort post (internal and external). Record all outgoing mail. Order postage stamps monthly. Posting correspondence daily.
- Complete all Monday morning administration. Copy, distribute and file.
- Photocopying documents and filing as necessary.
- T.V. Licensing
- Notify TV licensing of each new resident. Deal with queries. Complete annual returns.
- Take minutes at meetings and type and distribute same as and when required.
- Stationery - Order from various suppliers as and when required. Annual order for diaries/calendars. Order printed items and publications as necessary.
- Uniforms and name badges - Respond to uniform requests from staff and managers as appropriate, ordering where necessary.
- Maintain the follow-up file, probation diary and documents necessary for compliance.
- To develop and maintain knowledge relevant to the Administration office.

**Job Types**: Full-time, Temp to perm
Contract length: 12 months

**Salary**: £9.50 per hour
