Hire Fleet Administrator (Portuguese Speaking)
We are seeking a proactive and detail-oriented Hire Fleet Administrator to support our Hire Fleet and Drivers Teams. This role will involve handling administrative tasks and document filing from various stakeholders, contributing to the smooth functioning of our operations. As our client base grows we are now seeking to expand our team to include Portuguese speakers to support our 365 business.
**Key Responsibilities**:
- **Print and Distribute Instructions**: Utilize our systems to print and issue new delivery and collection instructions to the team daily, managing a high volume of tasks efficiently.
- **Coordinate with Third Party Agents**: Collaborate with third-party agents to facilitate the release of bikes, using our database to ensure readiness and compliance.
- **Coordinate Bike Repairs**: Assist in setting up tasks for the logistics team to return repaired bikes to customers promptly.
- **Maintain Logistics Diary**: Update the logistics diary with daily routes for drivers and holiday schedules for colleagues, ensuring smooth scheduling and operations.
**Knowledge and Experience**:
- Fluent in Portuguese and English
- 1-2 years of administration experience, demonstrating the ability to handle multiple tasks efficiently.
- Adaptability to change and a willingness to learn new systems and processes.
- Experience working with databases and proficient in data entry.
- Comfortable using the phone and interacting with various stakeholders.
- Strong teamwork skills with the ability to thrive in a fast-paced environment.
- Capacity to remain calm under pressure and maintain composure.
- Genuine desire to support and assist team members, contributing to a positive work environment.
- Excellent communication skills, both verbal and written.
