The MRC Laboratory of Molecular Biology (LMB) is one of the birthplaces of modern molecular biology and has played an important role in the development of many new techniques, most notably protein crystallography, cryo-electron microscopy, DNA sequencing and monoclonal antibodies. The LMB has a clear goal of understanding biological processes at the molecular level, with the ultimate aim of using this knowledge to tackle specific problems in human health and disease. We aim to tackle difficult, long-term problems, which often require investment over many years.

There are four scientific Divisions - Structural Studies, Protein and Nucleic Acid Chemistry, Cell Biology and Neurobiology. However, scientific collaboration between the different Divisions is extensive. Scientists are well supported by excellent scientific facilities and by the LMB Operations Group which maintains the core infrastructure and services of the institute.

Job Description

**Overall purpose**:
To support the Divisional Administrator (DA) and Heads of Division (HoD) in carrying out their responsibilities within the Division of Cell Biology at the MRC Laboratory of Molecular Biology (LMB).
To assist the DA with all aspects of administrative work within the Division, with the aim of providing efficient and effective administrative services. This will include having responsibility for specific tasks and processes.

To assist the Postgraduate Administrator with the administrative work associated with the LMB PhD programme, including the recruitment of PhD students and maintaining current student records.

To work collaboratively with administrative teams in the wider LMB and UK Research and Innovation (UKRI) contexts to ensure efficient and effective support to the work of the LMB.

**Main duties**:
To provide administrative support across Human Resources (HR), finance and other internal support services, in conjunction with other LMB and UK Shared Business Services (UKSBS) teams, specifically:

- Human Resources and Finance_
- Adhere to established processes for staff joining and leaving the Division.
- Co-ordinate the completion of HR processes such as probation meetings and personal development reviews.
- Carefully manage confidential information.
- Maintain and update databases (FileMaker) to ensure records are up-to-date and accurate. Organise files/data in line with General Data Protection Regulations and preparing files for archiving.
- Prepare and process Purchase Orders.
- Review and process expense claims in line with UKRI/MRC policy.

- Be the first point of contact in the Cell Biology Divisional Office for members of the Division, providing them with guidance and information which is timely, appropriate and clearly communicated, including signposting them to other sources of help when applicable.
- Provide support and assistance to scientific staff, in particular assisting them with travel arrangements and use of Oracle Fusion.
- Manage the booking of Divisional Seminar Rooms.
- Manage the monthly Divisional Wednesday Seminar Series.
- Co-ordinate visits to the LMB, which includes booking accommodation, catering and circulating timely information.
- Manage shared Divisional resources (e.g. laptops and stationery).
- Monitor levels of office supplies and order as appropriate.
- Ensure the smooth running of the Divisional office in the absence of the DA.

**Key responsibilities**:

- Co-ordinate and take responsibility for routine office administration within the Division, following established guidelines and processes.
- Manage and prioritise your own time and workload with mínimal supervision on delegated tasks, with appropriate standards of quality and an emphasis on accuracy, timeliness and attention to detail.

**Working relationships**:
Report to the Cell Biology Divisional Administrator.

Interact, advise and assist the Postgraduate Administrator, Director of Studies, the Cell Biology Head of Division, other administrative staff in the LMB, external visitors and with some external teams.
