Histopathology Secretary

Applications are invited from individuals who possess excellent IT, communication and time management skills. This role is varied and can involve liaising with a wide variety of people from all areas of the hospital and the surrounding community services such as GP surgeries and external laboratories. Attention to detail and a passion for providing a quality service to ensure patient care of the highest standard is essential for this role.
The post holder provides secretarial and administrative support to the histopathology department at the Whittington. The post involves fast and accurate audio typing with medical terminology and dealing with internal and external queries. The post holder requires good organisation and interpersonal skills to work effectively between the biomedical scientist team and the medical team; attention to details is critical and confidentiality is essential. The post holder supports medical laboratory assistant working on rotation in the office and the consultant’s PA working with histology cases in the PA’s absence.
In the Histopathology Department, we have 4 pathology consultants, 11 laboratory staff and 3 Office and Administration Staff, which also includes the PA to the consultants and our workload is approximately 20000 specimens per annum.
1. To order and result tests on the computer system according to departmental policy and standard operating procedures for the acceptance and validation of patient’s demographics with the use of the Patient Administration System or Open Exeter.
2. To type dissection recorded tapes and diagnostic recorded reports, using audio typing skills and medical terminology.
3. To enter on to the Laboratory computer system, diagnostic reports and tissue descriptions from hand written hard copy or from audio dictation.
4. To type post-mortem reports after autopsies, and patient related correspondence such as second opinions requests to other clinicians, and to HM Coroner, this will include complex medico-legal reports.
**5. To support consultant PA with outsourced reporting**: receiving reports from provider database; transferring the report onto WinPath; assigning the report to in-house pathologists for authorisation; managing lab off site requests; liaising with outsourced providers on patients queries.
6. To deal with telephone enquiries from clinicians, GPs, MDT coordinators, and enquiries from Patients. To make calls to obtain required information from other from other healthcare providers.
7. To deal with biomedical scientists and consultants daily queries. This requires good time management, good organisation skills to enable workflow between the technical work and the medical reporting targets.
9. To organise and maintain an efficient filing system for all hard copy reports, requests, correspondence and external results.
10. To support service manager advising MLAs working in the office on referral, data entry, organising couriers, chasing external test results, dispatching and receiving the post.
11. To inform the Histology manager of all stock that needs ordering.
12. To keep all clerical supplies in an orderly fashion.
13. To sort and distribute incoming mail, including tissue blocks and slides. Also support MLA on the task.
14. To train and develop MLAs or new staff working in the office.
15. To help and advice office MLA for all other duties in the office.
16. When the Consultant PA is absent to help prepare for the weekly MDTs by collating slides, and printing reports matching them on a case by case basis.
17. To be responsible for the smooth running of the day throughput of histology reports.
18. To retrieve old records from the old database, in archived manual and electronic records.
19. To monitor the filling system for slides and reports as per The Royal College of Pathologists and the Institute of Biomedical Science guidance, The retention and storage of pathological records and archives.
20. To complete all mandatory training.
21. To participate in a Staff Annual Joint Review.
22. Any other duties commensurate with the grading of the post.
