Whittington Health are pleased to offer an exciting opportunity for a motivated individual to provide administrative support to its Self-Management Support & Behaviour Change service.

Whittington Health aims to support people to be as engaged in their own health and health care as possible. For more than ten years the Self-Management Support and Behaviour Change Service has delivered a number of highly successful programmes to support people living with long term health conditions to self-manage and achieve goal orientated changes to improve their health and wellbeing. These programmes are part of a significant cultural shift in the provision of services where health and social care professionals and people using services work together in collaborative partnership.

We are looking for a highly organised and motivated administrative assistant to join this dynamic team. As administrative assistant you will provide comprehensive administrative and customer care support to ensure the effective recruitment to and smooth running of our programmes.

You should have excellent administrative, organisational and communications skills. You should be an enthusiastic, efficient and responsive individual.
- Act as first point of contact for the service, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information appropriately.
- Sensitively establish suitability of programmes for members of the public (e.g. details of health conditions); arrange for access requirements and signpost to other services / escalate as appropriate.
- Provide administrative support to co-ordinators & tutors to ensure smooth running of programmes, including planning, delivery & monitoring performance.
- Keep accurate & confidential records.
- Administer questionnaires, enter data & collate results.
- Support promotion activities.
- This role requires travelling throughout Islington and Haringey to help set up courses as well as some lifting of items such as a box of course manuals, flip chart stands.

Medical services have been delivered on the Whittington Hospital site for over 500 years. On 1st April 2011, Whittington Health was launched as a new Integrated Care Organisation (ICO) comprising The Whittington Hospital NHS Trust, NHS Islington and NHS Haringey. The Whittington and the community health services in Islington and Haringey are award winning organisations, delivering acute and community based health services to a population of 443,000 people.

The organisation is the biggest employer in the area, with over 4,500 staff; delivering healthcare not only on the acute hospital site which has 420 beds, but also from a variety of other community based health centres and through visits to patients homes across the boroughs to address the health needs of the local population. Whittington Health also works with other health, social care and voluntary sector partners to support patients and service users from their initial appointment whether it be with a community health team or at the hospital, all the way through to treatment and tailored after care.

MAIN DUTIES
- Act as first point of contact for the service, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to clients. Answer telephone calls, take messages and pass on accurately to the relevant person.
- Sensitively establish suitability of courses for members of the public (e.g. details of health conditions, impairments, existing degree of self-management); arrange for access requirements and signpost to other services as appropriate in line with policies and procedures. Escalate to line manager as appropriate.
- Maintain contact with participants in line with standard operating procedure, for example, follow up calls during courses.
- Establish suitability of courses for professionals (e.g. type of role, opportunity to implement skills and approaches learnt) and signpost to other training opportunities.
- Liaise with training venues, make room bookings and ensure all requirements are met e.g. accessibility; equipment etc.
- Contribute to smooth running of the courses by implementing checklists and ensuring e.g. materials, equipment, registers, certificates etc are all in order and trainers/tutors are fully supported. This includes supporting online courses, e.g., opening sessions & supporting with technical issues.
- Contribute to maintenance of course resources, e.g., administration of course manual updates.
- Organise transportation of training materials, setting up of training rooms and obtaining refreshments.
