**Role: Facilities Coordinator**
**Contract: Temporary to Permanent role**
**Pay: £10.50 p/h**
**Hours: 8am-5pm with 1 hour lunch**
**Setting: Health care

**Location:Orpington, Kent**
**Start: ASAP**
The client holds a very friendly working office environment and the team of 22 work very closely to deliver a safe and effective facilities service.
The client is situated within a health care hospital setting and so you would be required to wear a mask until you get to the office. With the sensitive nature of the setting this is a must for this role.
**Requirements for the role**:
- Strong eye to detail and coordination
- Intermediate skills on MS Office
- Be able to multitask and monitor busy in-boxes
- DBS check will need to be carried out for this role
**Overall purpose and key function of this particular role**:
- Undertake a variety of tasks as directed / coordinated by the Administration Manager.
- Tasks to include but not inclusive:
- Assigning reactive works to MRT's
- Filing and scanning of certs and compliance documentation
Work Orders, PPM's, Service Reports, Minor Works etc)
- Checking and where appropriate amending labour times, materials etc on work orders
- Process site access, by liaising with the senior managers.
- Updating Absence/Holiday planner.
- Timesheets (if applicable), overtime and expenses processing and checking where appropriate
- Sub-Contractors work order call outs
- Updating various trackers for managers, MRT Audit's.
- Data entry of hard copy work orders from MRT's
- Raising work orders for both Request for Alterations (RFA's) and Minor Works
- Booking of meeting rooms as and when requested
- Keeping the PRUH Site calendar updated as to when Sub Contractors / Visitors will be on site and the relevant work orders.
- Updates on audits from the Trust
- Printing and sorting PPM's for each specialism
- Informing the Commercial team of any Damages
- Procurement of items as required, either via Coin's or Credit Card
- Booking travel and hotels
- Minute taking for meetings as and when required
- Monitoring of Shared Inbox / Post and ensure correct distribution
- Work collaboratively and flexibly with colleagues to provide the most efficient administration support function
