If the answer is yes, we can offer you an exciting opportunity to join the CDIO Borders & Trade Directorate working as part of the growing Private Office team. The role of Assistant Private Secretary offers a fantastic opportunity to support and influence our team and wider community

This is a fast paced and multifaceted role, and requires someone who is flexible, proactive, and adaptable.

The team

The Private Office is a newly created small team that handles all aspects of the Chief Information Officer’s (CIO) daily life, including how he leads our Senior Leadership Team and how he engages with key partners, customers, and suppliers. We work together to ensure that the CIO is fulfilling all of his obligations as a HMRC Director

The CIO leads CDIO Borders & Trade, a group of around 600 people who build and run the IT services which enable the UK’s import and export trade with the rest of the world. This trade is worth around £800 billion to the UK, and our services collect over £150 billion in revenue on these transactions. Our services are highly visible and are considered critical to the running of UK trade.

**Job description**:
You will also be involved in coordinating aspects of the way our leadership team operates, managing and tracking actions and deadlines to ensure that we fulfil our commitments as a business group within CDIO and HMRC

There will be opportunities to become involved in work beyond the core responsibilities of the role. The knowledge and skills you build will help you to progress your career within HMRC and across government.

As an Assistant Private Secretary your key responsibilities will include the following:

- Proactive and reactive management of the CIO’s diary, travel and meeting papers, responding to requests, and ensuring that his time is spent on key activities and priorities
- Management of the Director’s inbox, escalating issues, cascading information, and tracking actions and deadlines.
- Contribute to the governance of our Senior Leadership Team, planning and prioritising meetings and events, taking minutes and supervising actions to ensure they are discharged.
- Making the best use of core technology products e.g Office 365 packages to produce high quality outputs on behalf of the Director and the leadership team.
- Providing cover within Private Office in the absence of the Private Office Manager, working as part of the wider team.
- Consider improvements to existing processes and the development of new systems to ensure an efficient, effective and productive Private Office.

**Essential Criteria**

You will already have experience of
- Working in a Previous Private Office or Personal Assistant role.
- Using leadership skills to build a strong network of key contacts and resources
- Prioritising work, using good judgement to make decisions and understand the risk and impact of your decisions
- Utilising strong organisational skills to multi-task and respond innovatively to changes
- Working both independently, without close supervision, and as part of a team

**Desirable criteria**
- Experience working with Office 365 packages
- Ability to analyse information and offer innovative ideas and solutions
