**The Role**:
**You and Your Team**:
- Reporting into our Property and Facilities managers, working within a small Receptionist team (across Chatham and Londonn) you will be providing exceptional front-of-house and administrative support.
- Being the ‘face’ of our Petersfield office, you will be welcoming visitors to our building as well as answering calls and managing in/out mail. You will be the first point of contact for any office related queries and be responsible for the day-to-day administration of our office.
**As a Receptionist, you will**:
- **First point of contact**for all visitors, both internal and external.
- **Managing access levels**to the building and car park, including issuing and monitoring security passes for staff, contractors, and visitors.
- **Meeting and greeting visitors**ensuring the visitors' book is signed in/out for fire warden purposes.
- **Providing high-level customer service** both on the telephone and face-to-face.
- **Maintaining a safe and pleasant reception area**at all times.
- **Booking colleague travel**using the online TMC platform.
- **Handling incoming post**including opening, logging, and distributing it in a timely manner.
- **Accepting deliveries**recording them, and forwarding items to the relevant department or individual while maintaining accurate records.
- **Outgoing Mail**logging, franking, and dispatching outgoing mail.
- **Managing meeting room bookings**and supporting colleagues in finding the most suitable room for their needs.
- **Ensuring meeting rooms are**ready for use, stocked with relevant provisions, and whiteboards are clear.
- **Providing general assistance**to colleagues as needed.
- **Logging building maintenance and health & safety issues**for compliance and monitoring.
- **Ensuring cover is available**for lunch breaks and annual leave.
- **Support** providing support to our Facilities Assistant with the day-to-day management of the office.

- Proven experience as a receptionist, administrator, or in a similar customer facing role
- Excellent organisational and multitasking abilities
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office Suite
- Ability to maintain a professional and welcoming demeanour
- Attention to detail and well-organized
- Committed and reliable
- Takes pride in their work.
