The IOPC is on a transformation journey and this role offers an opportunity to be at the heart of it by joining a dynamic Executive Support Team. The Executive Support team delivers high quality executive support to the IOPC senior leadership team and has a key role in enabling the delivery of the IOPC strategic objectives.

This newly established team forms part of a matrix management structure which allows team members to thrive in a fast-paced, high performing and collaborative environment.

As Executive Assistant to an IOPC DDG/Director you will be working directly with a named senior leader and providing tailored personal executive support, enabling them to thrive in the delivery of their strategic work and objectives.

Main Responsibilities
- To ensure the provision of continuous high-quality executive support to the DDG/Director.
- To co-ordinate the DDG/Director’s diary, managing commitments and competing demands and anticipating future needs to enable them to operate effectively.
- Track the DDG/Director’s commitments and ensure timely execution of deliverables and deadlines by coordinating with other executives and team members.
- Anticipate the DDG/Director’s needs, offering proactive support in identifying challenges, opportunities and solutions.
- To draft briefing material, reports, correspondence and communications on behalf of the DDG/Director as required, for both internal and external audiences.
- To ensure that the DDG/Director is fully briefed for all meetings, and where necessary prepare written briefings and information/meeting packs.

**Essential Experience**:

- Substantial experience of working with and supporting a senior figure. Experience of taking effective minutes and meeting management.
- Experience of research, report writing and preparing presentations.
- Experience of effectively managing a senior manager’s diary
- Experience of working and acting with discretion and dealing appropriately with confidential matters.
- Experience of dealing with a wide range of stakeholders at all levels, internally and externally.
- Proven experience of working effectively in a team environment.

**Essential Technical**:

- Security clearance, for handling on sensitive data and information (or willing to undergo).

**Essential Skills and Abilities**:

- Comfortable to work independently and using own initiative.
- Ability to thrive in a fast paced and dynamic environment.
- Effective trouble shooter with ability to identify, advise and manage problems, offering reasoned solutions.
- Able to organise and prioritise when under pressure and meet or negotiate deadlines.
- Demonstrates high level of attention to detail and an ability to work accurately.
- Excellent interpersonal skills, including tact, discretion and experience of liaising with external stakeholders.
- Comfortable taking decisions within a clear framework of delegation.

The role requires clearance to BPSS as a minimum. Higher level clearance may be required depending on the DDG/Director that you will be supporting._**
