Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, take messages, and respond to inquiries
- Organize and schedule appointments, meetings, and travel arrangements for staff
- Maintain contact lists and manage correspondence
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Order office supplies and research new deals and suppliers
- Maintain inventory of office supplies and equipment
- Bookkeeping tasks such as data entry, invoicing, and record keeping using QuickBooks
- Perform clerical duties such as typing, photocopying, scanning, and mailing
**Experience**:
- Proven experience as an administrator or in a similar role
- Strong organizational skills with the ability to multitask
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Ability to prioritize tasks and meet deadlines
- Knowledge of office management systems and procedures
- Familiarity with basic accounting principles and software (QuickBooks)
- Proficient in computerized systems for data entry
