Part-time Personal Assistant to Directors

We have an exciting opportunity for an experienced Personal Assistant/Admin to join our small (but perfectly formed) team, working directly with husband-and-wife Directors of two small growing businesses:
The principal business, **F2 Clinical**, is an etablished clinical research consultancy that collaborates with pharmaceutical companies in developing new cancer treatments for patients worldwide. Our team of expert consultants, located remotely around the UK, specialize in leading international clinical research studies for our clients ensuring that they adhere to highest standards of conduct.
Our new property investment company, **LiiteHaus** is in the early stages of developing a portfolio of properties for long term investment. Our vision is to provide modern, fresh, sociable and inspiring properties for young people and young families to call home.
This part-time position would be well-suited to an experienced and highly organised personal assistant/admin, who would enjoy working in a small team environment.
The position is based in the Directors’ home office - in West Byfleet, Surrey. You will report directly to the Directors and your primary role will be to support the Directors with business and personal admin; acting as a gatekeeper to allow them to focus on high value client work and business development activities.
**Responsibilities**
- Scheduling of appointments and meetings
- Processing of postal mail - filing, scanning and follow-up, as applicable
- Set-up and maintenance of electronic & paper filing systems
- Maintenance of business finance and property management documentation
- Review and processing of invoices & payments (when applicable)
- Processing of business receipts & follow-up of missing receipts
- Transaction reconciliation in Xero for property business
- Preparation of monthly Xero management reports
- Liason with remote virtual team members - virtual assistant, financial admin, bookkeeper and consultant team
- Assist Director with oversight of remote virtual assistant - weekly mid-week check-in meetings
**Requirements**:
You must be a self-starter, highly organized, confident with IT, with excellent communication skills and high standards of presentation.

- **Experience**_
- Must have experience and be comfortable working independently with MS Office suite (including Excel, Word, Outlook and (ideally) Teams)
- Experience of accounting software (such as Xero) is highly desirable.
- Experience with the following is a bonus but training can be provided: Evernote (electronic archiving); Asana (task management); Clockify (time & project tracking)

**Hour of Work**
12 h per week spread over 3 days (10 am - 2 pm, Mon - Thu) or possibly 4 days if preferred.
