The Port of London Authority is the statutory harbour authority for the tidal Thames and responsible for 95 miles of the River Thames from the Estuary to Teddington Lock in West London. We work to keep river users safe, protect and enhance the environment and promote the use of the river for trade and travel. London VTS is responsible for the safe and efficient navigation of a diverse range of commercial and leisure vessels in the Thames Estuary and lower reaches of the river covering an area of approximately 600 square miles**.**
**The role**:
As a VTS Administrative Officer at the Port of London Authority, you will assist the Harbour Master (SMS & VTS) and VTS Operations Manager with general administrative tasks for the VTS department. In this pivotal role, you will support the SMS department and collaborate closely with the Chief Harbour Master's (CHM) team to ensure smooth operations.
This is an essential role within one of the UK’s premier ports, offering the opportunity to work with senior management, incident managers, and staff in a dynamic and challenging environment. You will also provide emergency administrative support during maritime incidents, becoming a key member of the Marine Emergency Centre's response team.

This part time role would ideally be 5 days a week with specific hours to be agreed.
**KEY ACCOUNTABILITIES**
- Support the operational and administrative functions and activities of the Harbour Master (SMS&VTS) teams.
- Prepare, record and manage VTS rosters and annual leave, the availability and sickness of staff as well as cross-reference and authorise overtime requests.
- Prepare and monitor the competency Matrix for VTS and DPC Certification Log Books in accordance with MCA requirements.
- Manage the monitoring and ordering of stores and uniform and the organisation of delivery to PCC and TBNC.
- Coordinate with external VTS training providers and arrange the appropriate training courses for VTS personnel.
- Provide administrative support for the delivery of internal and external VTS refresher courses.
- Maintain a robust the Isophase Keying Device ordering system, prepare invoices and deal with any queries - liaise with accounts departments taking forward any decisions relating to discrepancies (internally and or externally).
- Provide VTS recordings to support the Harbour Master team.
- Point of contact for the external VTS enquiries and coordination of response.
- Support as necessary and provide administrative cover for the wider CHM department as required.
- Any other duties required by Management for the efficient and safe running of the department.
- Responsible for the preparation and publication of various internal routine and ad-hoc reports as required by the role.

**What we are looking for**:
- An above average standard of academic achievements with an excellent standard of written and verbal communicational skills, administrative skills and time management.
- Good interpersonal skills, including the ability to act tactfully, yet persuasively and assertively when necessary.
- Advanced IT skills including Microsoft Office
- A proven ability to act on own initiative, to work independently and unsupervised, making decisions and taking them forward with mínimal guidance.
- The aptitude to work well within a busy team and deal with a large workforce of professional staff.
- A good understanding of the requirements of the VTS Training Manual in addition to the requirements of the MCA for audit trails and certification.
- A clean driving licence as there may be a requirement to travel to other sites.
- Ability to prioritise challenging demands.
