**Based at Portland House, your role will support the smooth running of the Durham Business Group services. You’ll support the entire team ensuring that new and existing customers experience an excellent service. You will help promote the services of the group and profile its members using digital marketing and events and support in providing regular communications. You will support the daily running of the office services providing a range of administration duties and telephone support. This role is based at Portland House but may require occasional attendance at meetings or events at different venues and outside normal hours.**

Marketing:

- Update and maintain content and information on the company website.
- Compile and send out high quality and informative, regular communications to members and customers.
- Help manage, and create content for, the social media pages and profiles of the business across LinkedIn, Facebook, Instagram, Twitter/X, and any other relevant channels.
- Maintain marketing data lists in line with GDPR requirements.
- Help to create impactful marketing materials such as flyers and event presentation slides.
- Ensure Office Services clients and visitors are offered information about other services/Durham Business Club (e.g. by having fliers on reception and offering them to clients/visitors if appropriate).
- Get to know our members and understand their needs to help inform marketing plans.
- Undertake research to help understand how we can improve our services.

Business Administration:

- Ensure all processes and documentation are completed effectively and improved where required.
- Keep accurate records on the client relationship management system, with appropriate tasks assigned and actioned.
- Attend relevant meetings and undertake associated administrative tasks.
- Help with incoming post and outgoing post.
- Help facilitate bookings for rooms and hospitality.
- Support in preparing for events including badge printing, delegate lists, venue liaison and setup of event rooms.
- Filing.

Customer Service:

- Answer phone calls in a professional manner.
- Welcome visitors to Office Services in a helpful, friendly and professional manner and deal with related queries.
- Provide hospitality services such as teas/coffees to visitors and meeting room bookings, prepare and clear down meeting rooms in line with booking requirements.
- Maintain tidiness/cleanliness of communal areas (including main reception and kitchen) and ensure coffee machine and related provisions are sufficient.

General:

- Always work in a safe manner.
- Contribute ideas for continual improvement.
- Cover/support other staff in case of absence/holiday/busy periods.
- Be committed to learning about the business and to complete an apprenticeship within an 18-month period.

- Organisational skills and the ability to work accurately and with attention to detail.
- Ability to successfully undertake delegated tasks and work on own initiative.
- Ability to achieve deadlines and work as an effective and willing part of a team.
- Flexible and proactive attitude to achieving company and departmental goals.
- Commitment to continual personal and professional development.
- Available to work outside normal office hours if required.

Desirable Qualifications and Experience:

- Grade 4 or equivalent in Maths and English is highly desirable
- Experience of working in a close, client-facing environment.

Pay: £12,480.00 per year
