**About Us**:
The STFC Innovation and IP Team leads on the protection and exploitation of inventions and other opportunities arising from the research developments in the STFC National Laboratories. Our interactions lead to patents, new spinout companies, commercial licenses to STFC’s intellectual property, and collaborative technology developments with existing companies.

**About the Role**:
As Innovation and IP Administrator, you will be a key support in the actions of the STFC Innovation and IP Team with responsibility for licensing, IP and general administration for many aspects withing the team. Your role will be a key contributor in our team by ensuring licensees meet the licence obligations, acting as the external point of contact, monitoring finances and supporting IP management. This work enables the team to create impact and demonstrate translation of research developments into technologies that benefit society.

We are looking for an individual interested in the science we do at STFC and its potential to build societal impact. You will be confident in dealing with internal and external collaborators, have strong organisational, team-working and time-management skills, good understanding of excel and/or databases, and excellent attention to detail. You are self-motivated, quick to learn and flexible enough to support the team on a diverse portfolio of activities, while being able to prioritise well. You will bring good communication skills with an ability to build effective working relationships with a range of partners.

**Responsibilities and Duties**:
The responsibilities and duties will include but not be limited to:
Licence Administration
- Supporting the Licensing and IP Managers in ensuring licensees meet the licence obligations, including collection of annual royalty statements, working with local finance to issue invoices and distribute income accordingly.
- Acting as the day-to-day point of contact for licensing administration, reporting and escalating any issues to the Innovations Process and Licensing Managers.
- Ensuring STFC fulfils its responsibilities as the licensor by tracking these obligations and supporting the Licensing and IP Managers in fulfilling these as appropriate.

Intellectual Property and Agreement Databases administration
- Assisting the IP team to maintain the Intellectual Property database, including, but not limited to filing documents, updating records, adding new users and supporting queries from users.
- Responsible for management of patent re-charges to be charged to licensees on a quarterly basis, including but not limited to; running reports to determine amounts due, working with Finance, IP team and UK SBS to issue invoices, monitoring progress and informing budget holder of any issues or discrepancies.
- Managing STFC’s Non-Disclosure Agreement (NDA) system, reviewing requests for, and issuing standard NDAs for signatures, escalating where required to UKRI’s Legal and Income Contracts teams.
- Responsible for document management and internal reporting of Intellectual Property and Agreement metric to the Licensing and IP Managers.

Finance Administration
- Being responsible for the payment of patent attorneys and all other goods and services as required.
- Monitoring income and expenditure for royalties and patent costs and reporting to the IP manager.
- Reconciling the financial systems with the IP system.

STFC Innovations Board Administration
- Organising STFC Innovations Board meetings and teleconferences, including venues, travel, equipment and guest attendees.
- Collating and circulating papers ahead of meetings, document storage and filing.
- Producing agendas, minutes, action lists and records of discussions and decisions.
- Administration of STFC Innovations Board membership and company information.

Innovation Team General Support
- Supporting the Innovations team with Innovation Process Governance by preparing agendas, updating process tracker after team review meetings and recording brief minutes of outcomes.
- Supporting the Innovation Process Manager with collating and updating statistics on the performance of the STFC Innovations portfolio (licences and spinouts).
- Creating draft correspondence and other formal documents and obtaining signatures for formal documents such as licences and patents.
