The University of Dundee is one of the UK’s leading universities - internationally recognised for science, medicine and engineering, amongst many other disciplines. We currently employ around 200 staff across our organisation and operate facilities, hospitality, entertainment and support services 7 days a week.
**Purpose**
The Business Administrator
- Societies is a position with the Executive Support Team. This is a diverse and varied role which will operate in a fast-paced environment where being solution-focused is a prerequisite.
DUSA has undertaken a review of the student executive roles which has resulted in significant changes to the Student Executive Committee’s roles and remits. The primary purpose of this role is to be the main point of contact for DUSA’s societies and to build meaningful and effective relationships with the societies and their members to ensure they are supported to make lasting impact.
You will also work closely with internal teams and external stakeholders to build effective relationships in support of our new vision.
**The Role**
- Oversee and assist with the administrative aspects of DUSA affiliated societies, including bookings, affiliation, and banking processes
- Work collaboratively with the Student Opportunities Coordinator and Business Support Manager to improve working processes (administrative, financial, and representational) and support mechanisms for all student societies
- Support with development and delivery of training packages
- Provide support and guidance for students wishing to establish new societies
- Support the development and roll out of improvement systems benefiting societies (i.e. membership management system, room booking arrangements etc.)
- Work with existing societies to support the growth and development of their aims and activities
- Support student societies as a means of representation around causes, concerns and activities that matter to students.
- Seek and act on feedback received from individual society members and societies
- Support in the delivery of projects and campaigns led by the Student Executive Committee
- Work closely with the Communications and Marketing Team to design, plan, and coordinate relevant communications
- To be responsible for all administration required for the post including keeping statistics, confidential records and producing written and verbal reports as and when required
- Assist with management of the internal room bookings system.
- Act as a key point of contact for University administrative leads and other stakeholders to coordinate and manage the Executive schedules and diaries
- Provide secretariat support to key committee meetings and working/sub-groups with a range of activities such as, preparation of agendas and minutes, taking appropriate action notes for dissemination and completion, and ensuring that key documents and papers are properly maintained and stored.
- Provide business and administrative support to the executive team and executive support team.
- To advise and assist elected student officers in the creation and delivery of campaigns, events, and projects
- Contribute to ensuring the office environment is conducive to healthy working practices and reflective of DUSA’s culture
- Prioritising individual workload effectively and efficiently, taking appropriate action to ensure urgent problems are resolved as quickly as possible
- Supporting the training and professional development of new Executive Officers during and after the annual handover by contributing on workshops and associated resources
- Ensuring online platforms include up-to-date and relevant information (such as minutes, agenda and other) with support from the Marketing and Communications Team.
