The role

The HR Administrator is a key member of the HR Team, providing vital administrative support to the shared services of the HR Teams for both Academic and Professional staff, playing an important role in delivering an efficient and effective HR services for Said Business School staff.

The HR Administrator will take a supportive and collaborative approach in delivering an efficient, customer focused HR service for a range of staff, having high levels of personal discretion in dealing with confidential matters, and will have a keen focus on attention to detail.

The post holder will work closely with a range of stakeholders, including Said Business School staff, and the wider University.

**Responsibilities**:

- Providing administrative support for Director of People & OD and HR Business Partners.
- Maintain all employee HR Records i.e., in the PeopleXD system, and the electronic files, ensuring compliance with GDPR and employee confidentiality.
- Complete data entry on PeopleXD (including payroll changes), run PeopleXD reports and complete HR data returns as required.
- Support the monthly payroll process. Complete all monthly payroll changes, ensuring that the correct funds are utilised, and adhering to the University’s deadlines
- Undertake right to work checks, ensuring that all personnel files have the correct documentation in line with current right to work requirements; ensure compliance with requirements of the University’s Staff
- Collaborate with the team in providing support in the following areas, but not limited to, academic recruitments, academic promotions (IPO review processes; conferment of titles), outside appointments.
- Raising contracts of employment for staff and casual letter of engagements for casual workers

(including, but not limited to: Research Assistant and Teaching Assistants), preparing HR letters on behalf of the HR colleagues.
- Make administrative arrangements to support the team, including booking meetings, maintaining filing systems.
- Raise and receipt purchase orders and process invoices on the Oracle Finance system on behalf of all of the HR Team
- Assist in the provision of HR metrics and various reports for the school board and meetings
- Upload HR content on to the intranet

Selection criteria
Essential selection criteria
- GCSE (grade A-C) level English and Maths, or equivalent.
- Experience of working in an HR team dealing with day-to-day operational HR matters.
- Awareness of data protection and information security guidelines, and appropriate discretion when dealing with confidential information.
- Ability to work independently and as part of a team, working cohesively and sharing knowledge.
- Ability to communicate processes and procedures, responding clearly, accurately, and confidently to queries verbally and in writing.
- Experience of providing a high level of customer service with well-developed interpersonal skills.
- Demonstrable ability to prioritise workload, plan ahead, pay close attention to detail and produce accurate, detailed work within deadlines.
- Ability to work systematically and thoroughly to ensure that processes are completed, as necessary.
- A good standard of numeracy in order to confidently undertake basic calculations for payroll, annual leave and sickness.
- Ability to understand the broader implications of a scenario and to identify what follow on actions may be needed, seeking guidance as appropriate.
- A proactive approach with the ability to identify areas that could require improvement or attention.

Desirable selection criteria
- Experience of working with an Oracle-based HR system
- Experience working in the Higher Education sector
