This post will assist, and provide administrative support for, the two Admissions Officers in a newly expanded Admissions team. The role reports to the Head of Admissions, Marketing and Development and supports the admissions process from the initial enquiry stage right through to a pupil’s first day at Albyn School, helping to deliver an outstanding professional admissions service to all prospective parents and families.

**Main Responsibilities**
- To assist in delivering an efficient, professional and warm admissions service to parents, pupils and other key stakeholders, ensuring that the admissions process is smooth and successful.
- To provide support to the Admissions Officers in ensuring that all enquiries from prospective parents are dealt with in a professional, timely and consistent way that reflects the Albyn ethos and to be pro-active in responding to enquiries.
- Be a first point of contact to external admissions enquiries, ensuring all prospective families receive a positive impression of the school.
- Ensure the admissions process is consistently smooth from initial contact through to when a pupil joins the school. Making sure that offer packs, and then subsequently joining packs, are tailored to families and sent promptly and that all paperwork is completed before the pupil joins.
- Support the Admissions team at any Open Events, including induction and transition events, and including outside school hours, and liaise regularly with all staff to organise admissions events.
- Meet and greet all families and escort prospective visitors around the school campus.
- Organise visits, interviews and entry tests for prospective pupils.
- Collate and acknowledge acceptances for all year groups and update all information required for new starters, providing a point of contact for new pupils up to them entering the School.
- Communicate with the Finance Team regarding new pupils or any change in current pupil status ensuring the Finance Team has accurate information for billing.
- Assist with the administration of bursary awards to pupils, keeping clear and accurate records.
- Assist in uploading passport, CAS and visa details for international pupils onto the school database, when necessary.
- Ensure any leavers are recorded as such on the School’s Management Information System, including reasons for leaving, and inform relevant parties of all leavers.
- Provide administrative support for all Admissions focused activities including preparation for entrance assessments, printing and organising all paperwork for the admissions cycle including filing supporting documents, arranging interviews with families, liaising with feeder schools and requesting school reports, and supporting the Admissions team with the bursary process.
- Provide data entry support for all events and activities, updating admissions database and spreadsheet as required, including recording event attendees, inputting pupil registration forms, acceptance forms and new pupil documentation.
- To carry out any duties that may be reasonably requested.

**Person Specification**
- Educated to at least Higher/A-Level, this role is an entry-level position and an opportunity to experience a busy and varied office environment.
- Experience in a customer-facing environment with an understanding of a customer service approach and skills.
- A high level of personal motivation and a commitment to the values, ethos and aims of Albyn School.
- Awareness and understanding of independent education sector, desirable but not a necessity.
- Excellent communication, organisational, administrative and ICT skills and with a keen eye for detail; experience with data entry and website content management systems desirable.
- Ability to work under pressure in a fast-paced environment.
- Resourceful, resilient, reliable and trustworthy with a positive, proactive and ‘can do’ attitude.
- Personable, polite and presentable and with an excellent telephone manner.
- High levels of personal and professional integrity.
- Enthusiasm, willingness, and a flexible approach to working hours and duties.
- Able to liaise with parents, staff, and pupils in a professional and courteous manner at all times.

- This is a permanent post available immediately.
