**About our CEO**
Adam Hadley is an entrepreneur and data scientist focussed on improving data-driven decision-making in business and society. He is founder and CEO of QuantSpark, and Founder of the Online Harms Foundation which implements the Tech Against Terrorism initiative in partnership with the UN and the tech industry to help tech firms counter terrorist use of the internet.
**Role Overview**
An exciting opportunity has arisen for a PA to join our team. The PA role will provide additional bandwidth to the office of the CEO by providing PA and administrative support to the CEO. The PA will work closely alongside the CEO’s Chief of Staff in ensuring that the CEO has first class executive support. This role will predominantly focus on diary and travel management so strong organisational skills are a must. There will also be a need to support additional team members with travel bookings on occasion.
This role has plenty of scope to grow, over time, into a more senior PA role.
**The Role**
The PA duties will include, but are not limited to:
- **Diary and meeting support **- coordinating internal and external meetings for the CEO including, checking availability, sending calendar invites, booking meetings rooms and/or setting up video conferencing facilities.
- **Pre and post meeting admin** - assisting with collation and circulation of agendas and meeting documentation prior to meetings and adding action points from the meeting minutes to the team’s Asana board following meetings.
- **To do list organisation** - updating and organising the CEO’s to do list, as directed by the CEO and/or the CoS.
- **Travel support **- assisting with travel bookings for the CEO including flights, accommodation, transfers, visas and itineraries.
- **General and financial admin** - assisting in creating and maintaining a consistent and coherent electronic filing system, creating and maintaining records and trackers, processing expense claims, credit card expense reconciliation and processing supplier invoices, as well as a variety of ad hoc administrative tasks.
- **Personal support** - providing assistance with personal tasks for the CEO including researching and presenting options, making recommendations and proceeding to action the chosen option.
- **Events and hospitality** - booking client and/or team dinners and lunches for the CEO and support with administrative requirements for event attendance including, registration, updating diaries, booking travel, collating and sharing event information and requirements, providing photos and bios to organisers and various other event admin, as required.
- **Team requests and queries** - responding to internal and external queries for the CEO, supported by the CoS.
- **Team support **- supporting team members with travel bookings on an ad hoc basis.
**Experience requirements**
- Minimum of 3 years’ experience working in a tech scale-up/start-up or other face-paced environment.
- Experience working with Gmail, file management systems, Microsoft suite (preferably MOS certified, but not essential), Zoom and a variety of online business tools and systems.
- Excellent organisation skills and strong attention to detail.
- Willingness and ability to learn quickly.
- Excellent communication skills.
- Driven but humble, resilient, adaptable and proactive.
- Comfortable working in a face-paced, constantly changing environment.
