Working independently and as part of a team, you will support the day-to-day running of administration office and reception at our busy Head Office. You will need to be people-centred with good communication and interpersonal skills, enabling you to build positive relationships with both staff and visitors.
Part time positions AM and PM (8.30am-12.30pm and 12.15pm-16.15pm) Salary £9,975.83.

**JOB DESCRIPTION**

**Job title**: Receptionist/Administration Assistant
**Responsible to**: PA to the Chief Executive

JOB PURPOSE

To maintain the smooth operation of the reception area and provide excellent customer service and administrative support for the team working at the Head Office in Chester-le-Street. Provide high-quality service, incorporating the values of the Society and working within our policies and procedures.

DUTIES AND RESPONSIBILITIES

1. Act as the first port of call when dealing with telephone enquiries and to take accurate messages.
2. Answer the door and welcome any visitors to the service; ensuring all visitors sign in/out and provide appropriate hospitality to visitors as and when requested by senior staff.
3. Take responsibility for accepting deliveries from external vendors and ensure that such deliveries are correctly passed on to internal departmental staff.
4. Supporting autistic and/or neurodivergent individuals in a specialist setting is rewarding, however, crisis situations do occur and while full ongoing training, peer and managerial support is offered it does require resilience and a strength of character alongside the ability to put training theory into practice.

5. Ensure internal mail is dealt with appropriately and distributed daily and outgoing mail is franked appropriately.

6. Organise meetings and control the booking system for the board room.
7. Process I.D badges for all staff.
8. Support several departments within central services in providing a high level of admin support, including ordering stationary as required.
9. Take minutes at meetings as and when required.
10. Always maintain confidentiality.
11. Undertake general administration duties as appropriate, including tidying reception and communal areas.
12. Work respectfully as part of a team, acting in an anti-discriminatory manner at all times.
13. Attend all mandatory training within the timescale required, as well as attending appraisal meetings, supervisions, team meetings and training sessions.
14. Any other duties commensurate with the grading of the post.
