Job Description Summary
Take a proactive, collaborative approach to the management of flow, delivery and completion of RFPs and other questionnaires across all asset classes.
In addition, this role may be required to contribute to the maintenance of consultant databases, sourcing, creating and editing relevant and accurate material to ensure a consistently high standard of output to prospective and existing clients.
**Job Description**:
Key Responsibilities
- Manage the production of RFPs and other questionnaires for specified asset classes and products, ensuring that all deadlines are prioritised and agreed with relevant stakeholders; ensure all documents are written to suitable standards of accuracy, consistency and in line with agreed deadlines.
- Prioritise own workload to meet required deadlines.
- Implement quality standards for writing and data. Ensure documents meet the agreed quality standards for RFP production, and support the development of investment expertise and writing skills across the teams.
- Ensure output conforms with Aegon AM’s agreed “tone of voice” and brand standards.
- Support engagement with the processes required for the requesting and preparation of tender documents, and what is asked from other departments to support the functioning of the RFP and database processes.
- Support the efforts to increase level of standardized content and reduce development of bespoke material to optimize available resources.
- Be prepared to share expertise with the team, and assist with requests for assistance from the wider team, as needed.
- Act as RFP SME to provide advice, guidance and professional judgment, identifying options and recommendations for consideration by others, providing challenge where necessary.
- Contribute as required to the maintenance of institutional databases ensuring that content remains competitive and commercially relevant as well as accurate and up to date at all times.
- Collaborate with colleagues on the sourcing, collation and maintenance of data on the central database ensuring accurate and consistent data from relevant areas across AAM.
- Develop and maintain strong working relationships with all internal suppliers and clients, including relevant fund managers and sales people, and relevant members of the finance, operations, legal and performance measurement teams; be prepared and organised to respond quickly to product and corporate information queries from customers.
- Continually develop and update regulatory, investment and industry knowledge. Ensure training requirements are fulfilled and personal knowledge is up to date and of sufficient depth.
- Responsible for compliance with the regulatory and legislative regime as it impacts your role and for ensuring that risks are identified, reported and managed accordingly.
- Contribute to ensuring that the RFP Team consistently applies the principles of TCF, demonstrating with words and actions that the client perspective is always considered in decision making.
In addition to the duties and responsibilities listed, the job holder may be required to perform other duties assigned by his/her manager from time to time so long as such duties are within the scope and ability of the job holder.
Qualifications, skills and experience
- Extensive experience in writing RFPs
- Experience in managing, maintaining and developing RFP production machines (e.g. Qvidian)
- Strong knowledge of investment management products and the asset management industry
- Experience in maintaining institutional client databases and working with database interrogation tools
- Experience in dealing with 3rd party product channels and concepts ideally across the asset management capabilities offered by AAM Europe
- Ability to analyse complex data and communicate its meaning in plain English.
