Event & Logistics Coordinator

**Job Brief**:
This is a new, exciting and unique role, with the applicant being responsible for managing administrative tasks and coordinating Miele’s Gelateria attendance at private functions, community events and large shows and festivals.
The position involves handling enquiries for private hire events, liaising with various internal departments and external clients, ensuring the smooth execution of events such as weddings, community events and larger events such as festivals. We are involved in a huge selection of events throughout the year including Belladrum Festival, Hebridean Celtic Festival, Black Isle Show, Moy Games and many more. _We’re seeing rapid growth in this area, so it’s a very exciting time to join the team_
**Key Responsibilities**:
- Liaise with internal departments (e.g. admin, chefs, and Miele’s parlours) for event-specific requirements, such as invoice payments, stock management, flavour tasting arrangements and staff allocation.
- Organise transport and accommodation when necessary for events that are further afield.
- Liaise with stakeholders and event partners to enquire about the event, what they need from us and what we need from them in order to attend.
- Communicate with venues and other external event partners to ensure smooth arrival and setup for events.
- Create and update booking forms and information packs, ensuring all details are accurate and current.
- Update and maintain the event schedule and calendar, ensuring all details are communicated to relevant parties, and kept accurate.
- Building staff rotas for events and arranging logistics for accommodation and vehicles for events, to make sure there is adequate coverage and smooth event execution, particularly in high season (Spring/Summer)
- Hosting weekly meetings/catch-ups with the Event Management team - to delegate event tasks to team members and ensure all tasks are completed efficiently. This will include debriefs and event reviews.
- Attend events during setup, from time to time, to ensure all access to the venue and preparations are going smoothly.
- Occasionally you may be asked to stay at the event, to oversee it and any problems that may arise
- Evaluate events and streamline procedures for the future, coming up with new ideas.
- Experience in event coordination and logistics, administrative support, or a related role. Or, a strong desire to learn.
- Strong organisational skills with a keen attention to detail.
- Ability to manage multiple tasks and events.
- Strong interpersonal skills, with the ability to work collaboratively with a diverse team and interact with clients and partners in a professional manner.
- Flexibility and willingness to work evenings, weekends, and holidays as needed for event coordination.
- Graduate in Event Management

This is primarily an office-based role, within Inverness, but with attendance at event venues from time to time, meaning occasional travel may be required throughout Inverness and the Highlands and Islands.
