**Job Title: Safe Accommodation Administrator**
**Salary: £21,312**
**Report to**: Assistant Director of Operations
**Responsible for**: May oversee work of volunteers
**Main Purpose**:
To provide admin support to the team in all Hertfordshire safe accommodation sites, including safeguarding reporting, site compliance with Health and Safety and filing. Meeting and greeting clients and booking them in for support where needed. Taking rent payments and manage site budget and petty cash. Liaising with internal teams including the finance team, rents and facilities to ensure communication is open and clear.
**Key Responsibilities**:

**Main Tasks**
1. General Admin tasks such as the receiving of inbound and outbound post. Use IT competently to produce and store letters and documents when communicating with internal and external departments, clients, and Funders.
2. Make and receive telephone calls, in a profession manner, take messages ensuring they are passed on promptly.
3. Assist with the collection of charges due from residents in safe accommodation, issue receipts, keep records of cash collected, payments due/in arrears, deposit cash securely
4. Assist facilities and site staff in weekly/monthly/annual checks of safe accommodation for
Health & Safety purposes including fire drills, fire checks and risk assessments and ensure that units are properly maintained by service users and report and chase repairs as necessary.
5. Maintain and check periodically the inventory of furnishings, bedding, crockery, kitchen utensils, etc. pertinent to each unit.
6. Be first contact within the safe accommodation and respond in a professional manner, meet and greet visitors ensuring they sign in the visitor’s book etc.
7. Ensure accurate collection, inputting and reporting of Monthly, Quarterly and Annual Statistical information e.g. Safe guarding and health and safety compliance, case studies, complaints, comments and compliment monitoring.
8. Minute taking at house and team meetings.
9. Assist in the update of Welcome Packs for Safe Accommodation sites and ensure replenished when necessary.
10. Assist Line manager in managing site budget and have responsibility for site petty cash.
11. Produce leaflets, posters and newsletters to clients and team.
12. Maintain stock levels of stationery, inventories and asset registers.
13. Ensure all Safer Places Policies and Procedures are adhered to.
**General**
1. The role holder will be expected to perform any other duties that may reasonably be asked of them.
2. The post holder is required to travel extensively throughout the Broxbourne Borough, East Herts, Stevenage and North Herts and Hatfield.
3. Undertake appropriate skills-based training which the organisation requires you to complete
4. Comply with data protection legislation, information sharing policy and procedures and all legislation connected to your work. Act in a manner which preserves the confidentiality of all stakeholders
5. Remain up-to-date and compliant with all organisational procedures, policies and professional codes of conduct and uphold standards of best practice.
6. Respect and value the diversity of the community in which the services works in, and recognise the needs and concerns of a diverse range of survivors ensuring the service is accessible to all
**Person Specification**
Experience of having worked in an administrative role
Knowledge of debt recovery
Knowledge of dealing with diverse clients in a busy score
stressful environment.
Knowledge and basic understanding of the welfare and benefit system.
Outlook etc.
**QUALIFICATIONS**
5 GCSE’s grade C or above (to Essential Certificates Shortlist - include Maths and English)
Show initiative and be proactive
Act with integrity and respect when working with all clients, question agencies and individuals.
Work flexibly as part of a team
