We have an exciting opportunity for an Office Administrator to join our dynamic team to assist in all aspects of administrative support.
**Office Administrator - Key Responsibilities**:
- **Document Management**: Organise and maintain office documents, files, and records, ensuring they are easily accessible and up to date.
- **Meeting Coordination**: Schedule and organise meetings, focus groups, and events, ensuring all logistics are handled efficiently (e.g., booking rooms, sending outlook invites).
- **Record Keeping**: Maintain accurate records of all procurement transactions, including purchase orders, delivery receipts.
- **Supplier Coordination**: Communicate with suppliers to ensure the completion and approval of the latest supplier questionnaires, and update the supply chain management spreadsheet accordingly.
- **Data Entry and Reporting**: Update and maintain company databases, spreadsheets, and other records, ensuring accurate and timely data entry.
- **Health & Safety Compliance**: Assist with office health and safety procedures, including keeping track of necessary records and ensuring compliance with regulations.
- **Purchase Order Placement**: Accurately place and manage purchase orders for materials, plant, and equipment, ensuring that all orders are processed efficiently.
- **Social Media and LinkedIn**: Updating and maintaining the company’s LinkedIn profile, including posting regular updates, company news, and relevant content to engage with the professional network.
- **Presentation Creation**: Skills in creating visually appealing and professional presentations using tools such as PowerPoint.
**Required Skills and Experience**:
- **Interpersonal Skills**: Strong ability to build and maintain relationships with clients, team members, and contractors.
- **Administrative Expertise**: Extensive experience providing high-quality administrative services.
- **Communication**: Excellent written and verbal communication skills for effective and clear interactions.
- **Technical Proficiency**: Proficiency in Microsoft Word, Excel, and SharePoint for document management, reporting, and collaboration.
- **Problem-Solving**: Confidence in decision-making and resolving issues efficiently and effectively.
