**Due to continued growth we are looking to recruit a Multi Service Administrator for our head office.**

Our core services include daily cleaning, industrial & specialist cleaning, window cleaning, grounds maintenance services. In addition to this we also provide washroom, waste management, pest control & building maintenance solutions.

**The Role**
- Handling incoming Queries and liaising with the client and subcontractors to gather information required.
- Inputting industrial and one-off quotes and prospects onto the Zoho CRM (Customer Relations Management) system and updating their statuses as they progress.
- Answering Phones and responding to any incoming queries from clients/prospects/employees.
- Completing Customer Service Calls
- Setting up new customers and jobs on the E-works system and authorising these upon completion.
- Manage our client with reactive work and sub-contractors
- Updating the One-Off Spreadsheet and ensuring this is up to date and accurate by the end of the pay period.
- Ensure that job sheets have been signed off by the client on Eworks.
- Arbitrating remaining shifts on the Timegate T&A System.
- Completing the Monthly Garden Service Spreadsheet.
- Upon job completion, notify customer service to ensure call is made.
- Process all one-off work sheets from Emanager to send to accounts and payroll
- Processing all New Enquiries that are to be outsourced and liaising with both client and subcontractor to ensure jobs are quoted for and completed
- Monitoring Timegate Log In attempts and aiding MS Manager when required.
- Distributing Monthly reports to subcontractors on their opportunities and the statuses.
- Pricing incoming handyman jobs and reactive works, gaining approval from Commercial Director
- Processing incoming Reactive works, updating the tracker and creating the Backing Data Reports each month.
- Dealing with sub-contractors on outsourced work. Raise PO (Purchase Order) and attach worksheet for the subcontractor to have signed off. Raising a work bill on templa for all outsourced work.
- Create work bill, pdf the sign off sheet, and send alongside a PO to the subcontractor.
- Deal with all complaints from customer service with industrial manager within correct SLA
- Placing orders for any plant hire, equipment and materials for work scheduled.
- Route optimisation, ensuring work is carried out in the most economical route
- Ensuring all plant is off hired within the correct period
- Ensuring Budgets for one off work are maintained
- Informing HR on staff vacancies
- Checking each day timegate on no shows late turnups of staff on contracts, reporting to MS multi service manager preparing daily report
- Maintaining whiteboards with scheduled one-off work
