Sainsbury Wing is a Private Patients’ unit comprising of 19 beds predominantly admitting patients with colorectal disorders. However, being the only private unit in the Trust we also admit patients with cardiac, general medical and surgical conditions. The focus on Sainsbury wing is on delivering consistently high standards of patient care within a friendly and committed team environment. However, due to current pandemic we are operating as an NHS ward looking after Gastrointestinal and General Surgery patients.

We are looking for a Ward Clerk with the enthusiasm to excel and develop. Will need some experience within a customer care setting or a clerical environment, with a interest in working closely with the nursing and other administrative staff. You will need to have good communication skills and keen to develop. It will be an asset to have some experience in a fast moving area with excellent customer services. A qualification in Medical Administration and customer care is desirable but not an essential requirement for this post. However, it is vital to be a good team player and keen to develop.

KEY RESPONSIBILITIES

To be responsible for the administrative function relating to the ward.

Participate in the reception of patients and relatives in the clinical area and act courteously to all visitors and other service users.

Work within set routines, policies and procedures/can deal on own with patient enquiries.

Will possess comprehensive understanding of the multidisciplinary professional working team and have good interpersonal skills.

The post is crucial in the coordination of costing information at ward level.

Working Relationships and Communication Requirements of Your Role

To ensure appropriate information is available on the ward for patients and visitors.

To deal with enquiries from medical staff and the public concerning the admission, discharge and transfer of patients.

Answer telephone and take messages as necessary and faxing as required.

Liaise with patient, relatives and hospital staff / other departments.

Maintain direct communication with patients, appropriately dealing with any issues that may arise.

The post holder must maintain the confidentiality of information about patients, staff and health service businesses in accordance with Trust Confidentiality Policy and the Data Protection Act

Knowledge Training & Experience
- Knowledge of patient administrative system (computerised); case note tracking
- Standard key board skills
- Undertake personal development to meet identified needs.
- Attend mandatory training sessions

Clinical Responsibility

Admissions
- Maintain bed state on ICS Live using the following functions
- Admit
- Discharge
- Transfer
- Updating and amending patient details on ICS Live, production of front sheets/labels and ID bracelets.
- Doing room checks or readiness in anticipation for new arrivals.

Maintenance of case notes
- Obtain relevant notes
- Filing of information into notes
- Production and filing of patient labels/front sheets
- Maintaining orderly storage of notes
- Return of notes to appropriate destination
- Prepare Admission packs.

Discharges
- Book patient follow up clinic appointment before they leave the ward
