Run Inter Authority Transfer (IAT) process to determine length of NHS service. Prepare all new starter paperwork for new employees, ensuring that it is saved in the relevant folders and sent to the payroll team for inputting by the appropriate payroll deadlines. Liaise with L&D to ensure all new starters are appropriately inducted and are booked onto the appropriate statutory and mandatory training courses. Liaise with recruitment agencies, where agency staff are requested, acting as the link between recruiting managers and the agency to ensure thatcompliance requirements are met.
Create smartcards for new employees, using Digital Photography for identification purposes and link smartcards to ESR in a timely manner. Ensure that all data on the recruitment tracker is accurate and up to date and all recruitment documentation is checked for both completeness and compliance. Carry out DBS checks for existing staff and ensure systems are regularly updated when clearances are received. To use all functionalities within NHS Jobs to track the recruitment process end to end.
Produce the required reports for the organisations workforce report in relation to various recruitment data sets. Run reports from ESR to support the required checks that will be required but not limited to right to work, fixed term contracts, end of probationary periods, DBS etc, ensuring all actions are completed within the appropriate deadlines. Support the HR Advisor to prepare and distribute documentation relating to Employee Relations cases. Maintain electronic filing systems for employees, ensuring HR documents are appropriately retained in line with GDPR and data protection guidelines.
Genera duties and responsibilities To effectively communicate with all levels of staff regarding general People queries and to deal with these queries in a professional and timely manner. Support with implementation and delivery of projects and HR events with the People Services Team e.g. Recruitment Fairs, Health & Wellbeing Days, etc. To provide cover as when required for the People Team slot on the monthly Corporate Induction.
Participate as a full member of the People Services Team to deliver the overall objectives of the Human Resources agenda. To train new team members in the systems and processes used to perform the duties and responsibilities of the role. To identify and suggest improvements of systems and procedures within own working area. To support the implementation of any process changes.
Responsible for providing general admin support to the People team as required. To undertake research and development activities related to People projects as designated by the Lead for People Services.
