Our company is currently looking for enthusiastic individuals to join our team to help provide support within our property portfolio, liaison with our Board of Directors and Head Office administration team.
Experience in Facilities Property Management is a prerequisite of the job.
**Job Title**: Property Administrator

**Location**: Based in and around Kettering, East Midlands with monthly trips to Crowborough, East Sussex
**Job Type**: Full-time (37.5 hours per week)
**Schedule**: Monday to Friday (occasional emergency weekend cover with time off in lieu)

**The Role**
Although the role and the majority of our properties are based in the East Midlands, our Head Office is located in East Sussex and the successful applicant will be required to work from this office on average once a month. It is therefore a requirement thatthe person we appoint has a clean driving licence and is comfortable with a multi-location work life.
**Essential requirement**: Experience working in Property
**Reporting lines**:Board of Directors via Director of Finance
**Staff Management**:Line manager for three full-time maintenance staff
**Collaboration with**:Location Managers**,**HO administration
**Duties**:
**Utilities Management**:
- Meter readings - Onward transmission to Utility companies
- Liaison with Utilities Management Company on pricing to recommend to Board
- Liaison with HO to ensure accurate recording and billing
- Onboarding utilities for new premises
- Emergency cover for a drop of services
- Oversee boiler servicing, emergency calls outs etc
- Water companies (intermittent letters re high water usage)
- Telephones and Broadband re new properties and any loss of service to existing
- Council Tax - ensuring correct disability discounts
- EICR Checks to maintain dates and renewals. PAT testing administration
- Fire Inspections and Certificates all done by Smiths
- Domestic Warranties taken out by Managers to be kept in check and dates documented
- TV Licences - care homes and communal areas
**Buildings**:
- Manage maintenance work on all premises, directing and prioritising work of maintenance staff
- Liaise with Managers and Board over Planned Maintenance, costing and prioritisation
- Key member of the team in respect of onboarding new properties and ensuring sufficient standards to meet business requirements (ie HMO, Care home standards)
- Ensure that all premises meet all appropriate building standards at all times - Health & Safety
- Manage insurance maintenance checklists and ensure compliance at all times with insurance requirements
- Liaise with HO in respect of insurance renewals and onboarding of new properties
- Maintain fixed asset register for properties, including white goods etc
- Waste management/waste carrier licences
- Pest Control
- Liaise with external landlords regarding maintenance as required
**Sustainability**:
- Recommend green/eco policies in respect of running of properties
- Vehicle Management
- Manage car fleet maintained for client transport purposes at each location
- Manage maintenance team vehicles
- Liaise with HO regarding insurance, claims etc
- Finance
- Petty cash and Tool Station expenditure management and analysis in respect of properties
- Management and liaison with HO regarding maintenance rechargeable to clients
