The Job in a Nutshell:
To provide the Chief Operating Officer with professional and well organised administrative, secretarial and office management support. To be the focal point of contact and liaison between the Chief Operating Officer and internal and external contacts. To plan, organise and reschedule a complex diary, managing time effectively. To contribute to ad hoc projects and activities as appropriate.

What you’ll be doing:

- Inbox Management
- Diary Management - Scheduling, planning and organisation, booking travel and accommodation
- General admin duties including holiday planning for team, processing personal expenses, company credit card expenses, raising purchase orders, maintaining document appropriate filing
- Meeting preparation - producing documents, briefing papers, reports and presentations, booking meeting rooms
- Providing hotel visit packs and data where required
- Scheduling meetings - within Operations as well as cross functional, which may include members of the Operating Board
- Creating and circulating agenda for monthly COO & Direct Report meetings, attending and taking minutes and following up on actions
- Handling confidential staff related matters, including staff appraisals, grievances, disciplinary investigations, recruitment, drafting reports and correspondence.
- Adhoc support for other PAs and Directors within the business
- Coordinating annual Conference (approx 1000 attendees)
- Manage the Incident Management Group rota for Sleepy Hollow representatives, and ensure it is populated monthly and send weekly summaries of cover to the Operating Board.

UK Operations Director
- Monitoring inbox
- Diary Management - Scheduling, planning and organisation, booking travel and accommodation
- General admin duties - including processing personal expenses, company credit card expenses, monitoring and recording holiday requests and sickness from Direct Reports
- Meeting preparation - producing documents, briefing papers, reports and presentations, booking meeting rooms

Director of Central Operations
- Diary Management
- Booking travel and accommodation
- Meeting preparation - producing documents, briefing papers, reports and presentations, booking meeting rooms
- Monitoring and recording holiday requests and sickness from Direct Reports

Annual Conference
- Be the Lead PA co-ordinating the annual conference for approx 1000 attendees
- Organising and supporting Project Steering Group meetings with the production company, the COO, the Chief People Officer and Internal Comms Manager
- Budget management
- Supplier management and coordination
- Support and coordination of internal stakeholders producing content for the event
- Direct liaison with venue
- Supporting production of monthly board papers for Operating Board meetings providing updates on milestones and progress
- Arranging and attending rehearsals and ensuring scripts and slides are completed by agreed deadlines

Ad hoc
- Managing the administration of the department Business Account Card
- Booking accommodation for other members of the Central Operations team
- Ad hoc meeting requests and room bookings for other Direct Reports of COO
- Ensuring new starters have been added to appropriate meeting invites, distribution list, etc and leavers removed
- Responding to requests for info from the People Team such as Organisation Chart updates
- Ensuring service anniversaries are recognised at team meetings/huddles and colleague recognition schemes are utilised

Internal: Operating Board, PA’s, Operations Team, Regional Directors, District Managers

What we’ll expect from you
- Experience of dealing with highly confidential information with tact and sensitivity.
- Excellent IT skills including intermediate/advanced knowledge of MS Office, including Word, Excel and PowerPoint as well as Google Suite.
- Experience of working as a key member of a team, able to take your own initiative and work flexibly.
- Proven ability to communicate information effectively and confidently to a wide range of internal and external contacts and at a very Senior level.
