**JOB DESCRIPTION**
**JOB TITLE: Administration Assistant**
**HOLDER**:
**REPORTING TO**:
**MAIN PURPOSE OF JOB**:
To be the first point of contact for clients via telephone.
To provide reception duties as and when required.
To provide general administrative support/functions within in the firm.
To update and maintain LEAP (Computerised Client Information System) as necessary
To liaise with the Police with regard to Bail Back Appointments for Clients.
**MAIN DUTIES AND RESPONSIBILITIES**:
**Duties to Clients**
1. Taking accurate telephone messages from clients for fee earners.
2. Making telephone calls to courts and police as requested by fee earners and answering clients' minor queries regarding their files/matters.
3. Making appointments for clients on behalf of fee earners.
4. Arranging meetings/conferences between clients, barristers and fee earners as required. This includes face to face or via the Cloud Video Platform (CVP)
**General Workload**
2. Opening new matters, this includes manual and computerised files and inputting the information into LEAP, ensuring that the computerised record is accurate and up to date at all times.
3. Opening and distributing mail and preparing mail for sending.
4. Maintaining a manual central diary system.
5. Checking and ordering stationery as required.
6. To develop and maintain effective working relationship with all staff.
7. Closing all files via LEAP and archiving as necessary.
8. To undertake photocopying tasks as required
9. Undertake such other duties that are required commensurate with the role.
**Job Specification -**
**Essential**
- At least 2 years of Administration experience required.
- Good knowledge of Outlook and Microsoft Word.
- Good Standard of Keyboard Skills.
- Effective verbal communication skills in particular the ability to provide clear advice over the telephone.
- Accurate data inputting and attention to detail. Previous experience of using a client data base.
- Ability to deal with a demanding workload and prioritise accordingly.
**Desirable**
- Experience of setting up/maintaining office systems.
- Ability to work on own initiative and as a member of a team.
- Effective organisational Skills.
- Ability to develop knowledge and understanding of the Firm.
- Experience of dealing with confidential and sensitive issues with tact and diplomacy as well as being discrete.
**Job Types**: Part-time, Permanent
Pay: £10.00-£11.00 per hour
Expected hours: 21 per week
