**Purpose of the Post**
To provide an effective and efficient administrative support service to the CEO, Therapists and Trustees to enable The Sea Change Trust to deliver project services.
While this post is a 2-year contract, we are hopeful that this will be a long-term position and are keen to find someone who is enthusiastic about growing their role.
**Duties and Responsibilities**
**The Sea Change Trust is a small children’s mental health charity, established in Shrewsbury in 2019. We’re a team of specialist therapists working closely together to offer effective and timely support to local babies, children, young people, and parents. We are a small and friendly team who believe in supporting each other, as well as those who access our services.**
**General Administrative**
- Respond to queries, dealing with routine matters and passing more complex queries to the appropriate member of staff
- Proofread and format documents
- Deal with visitors to the organisation in an appropriate and personable manner
- Assist with keeping databases and records up to date
- Use initiative to improve efficiency of systems in collaboration with the team and our consultants
- Assist with other work, events and projects as needed and undertake additional tasks reasonably requested by the CEO and the team.
**Project Support**
- Providing administrative support to The Sea Change Trust projects as required
- Support project meetings and produce relevant notes/actions
- Manage stocks of key physical resources and co-ordinate ordering/restock
- Assist with project fundraising activity to support project delivery, including any research required, requests, general mail outs and donor correspondence
**Project finance and Management Support**
- Support with the charity’s bookkeeping using the accounting software, Xero
- Support the maintenance of funding/financial record keeping
- Provide assistance during project budgeting and forecasting
- Day to day banking and cash functions, as required
- Co-ordinate trustee papers and circulate
- Take and type up minutes of Trustee Meetings and make sure agendas and minutes are sent out
**Human Resources**
- Arrange interviews
- Seek references, ensuring these are followed up and confirmed via telephone
- Collate necessary documents and proof of qualifications, professional membership, indemnity and insurance and DBS.
**General Duties**
- Attend regular line management supervision and annual appraisal
- Plan and prioritise own work to cope with variable demand and interruptions, ensuring quality and completion
- Maintain confidentiality and observe Data Protection guidelines
- Carry out duties in line with The Sea Change Trust’s Policies and Procedures
- Undertake relevant training and development activities and respond positively to new and alternative systems.
**Essential Skills**
- Demonstrable experience of working in Administration
- Experience of Finance Administration and systems including Xero
- Solid organisational skills including excellent time management, consistency, accuracy, and attention to detail
- Excellent team working skills
- To be able to communicate effectively and sympathetically with a wide variety of people, including those who may be young, vulnerable or distressed
- Strong IT skills including Outlook, Word and Excel and PowerPoint and experience of using databases
- Experience of working flexibly and prioritising a busy workload
- Ability to problem solve and to be practical, proactive and seek solutions

**Salary**: £18,000.00 per year
