Hales Group are currently working with our client who are a global company specialising in the offshore industry. As a Commercial Assistant you will be assisting and supporting the Commercial Manager in the effective leadership and management of the companiesCommercial function and activities in order to ensure Commercial function, financial management, documentation and related processes are managed and completed successfully within deadlines and company guidelines. You will need to have a positive relationshipwith key stakeholders, staff and customers to achieve the organisation's goals and ensure their Customers receive 100% attention from receipt of order through to shipping and follow-up after shipment has taken place.
**Key responsibilities**
- The Customer Purchase Order Receipt process, to include the project set up, system input, on-going management control meetings, liaising with Project Managers, invoice and shipping preparation documentation and electronic filing systems are implementedand updated
- To up-date daily all spreadsheets with required information regarding order value, invoice values, projected Invoicing report etc to enable others to readily gather information for reporting to the management
- The Shipping Process, to prepare as and when required the necessary paperwork to include Packing Lists, Shipping invoice and any other paperwork as required for goods to be shipped to our customers
- The Repairs Process, to include from receipt, costing sheet preparation, Customer quotation and liaison, order receipt, the engineer/technician instruction advice and customer invoice
- The Commercial element of the Company's Finance process, to include Commission Payments to Agents, arranging Bank Guarantees, understanding and commenting on Letters of Credit
- To provide an all-round positive customer service experience
- Answering and responding to calls from external and internal customers in a professional manner and to help or pass the call to relevant person, and to take messages and to pass to others
**Skills and experience**
- A minimum of two years' experience of dealing with a Customer based focused company within a manufacturing based industry dealing worldwide
- Experience in an Export Shipping Role to include the understanding of Inco Terms, and all necessary documentation required for the exportation of goods and a knowledge of Letters of Credit - desirable
- Ability to manage multiple projects simultaneously and to work autonomously
- A customer focused sales and marketing approach in managing customer sales and being able to demonstrate a strong Customer Services attitude
- To have excellent interpersonal & team building skills
- Strong Written and Verbal Communication Skills
- Attention to detail
- IT Skills, particularly in Advanced level Excel and to include Word, Power point and Outlook
- Excellent Telephone Manner
- A strong problem solver
- A Pro-active and logical approach to role tasks and the ability to assume responsibility
