**Role**:
The administrator is responsible for assisting and providing administrative support to the business. This includes dealing with mail and bookkeeping. Applicants for the job should possess excellent written and verbal communication skills and be highly organised. They also need to have skills in typing, using computer systems and have a strong understanding of the workings of an office. Good interpersonal skills are very important as they often have to deal with customers and external agencies. Have an understanding of accountancy and book keeping skills are essential for this position.

**Must be competence in the use of QuickBooks Software.**

The position will cover a broad area of responsibilities:

- Handling supplier invoices on a daily basis, ensuring matching to purchase orders and delivery notes. Returning all invalid documents/deliveries as and when necessary.
- Ordering all stock and negotiating best price.
- Entering data into QuickBooks and running reports.
- Resolve queries on incorrect deliveries and invoices.
- Ensuring all supplier invoices are filed accurately and timely
- Answering suppliers’ phone calls and resolving queries
- Make all payments
- Check all bank statements and reconcile the accounts on a monthly basis
- Process all petty cash payments
- Keeping track of all staff working hours, holiday and sickness
- Receiving all wage information from the accountant and distributing pay slips and making payments
- Keep all staff files uptodate
- Opening all post and actioning
- Negotiating all equipment contracts (lasers, airconditioning, fire alarms etc) and keeping them uptodate
- Make sure that all equipment is serviced according to contracts
- Deal with all outside agencies
- Organise all maintenance jobs for all clinics
- Other Ad hoc tasks

**Job Type**: Part-time

Pay: £13.00-£15.00 per hour
