Facilities Coordinator

Responsible for the Facilities coordination, including Planned Preventative Maintenance (PPM), processes, liaising with internal/external services and colleagues within all departments. The role-holder to will also cover reception, enabling the business to work effectively and there will also be a close working relationship to the Health & Safety Coordinator.
- PPM liaising with the Facilities management service to ensure timely completion of maintenance. Reporting monthly on recommendations for repairs, including costs and escalating incomplete tasks to the Health & Safety Co-ordinator.
- Handling general facilities queries and logging these for action or actioning where required ie, requests for headsets/spillages/building repairs ad hoc.
- Management of the Security passes and parking permit requirements where applicable, ensure passes for leavers are cancelled and destroyed, alongside ensure all visitor passes are accounted for.
- Managing the weekly stocktake and ordering of all stationery via third party supplier, ensure any ‘special requested’ items have approval before ordering. Distributing of stock across floors and ensure that levels are maintained including paper for printers.
- Updating the monthly spend report for all stock orders, ensuring compliance with budget and reconciliations are completed, PO’s raised where required ensuring invoices are received/checked and issued to accounts payable in a timely manner.
- Liasing with the HR team to ensure new starters forms/ID passes are completed for new starters.
- To be responsible for the daily post delivered to office, ensuring this is done daily.
- Tracking of cheques and customer complaints including CCJs.
- Arrange outgoing delivers and couriers where necessary
- Meet & Greet visitors at reception, maintaining the visitor log liaising with the host ensuring that Visitors are welcomed correctly to the building and where applicable building inductions are organised.
- Cover for the Health & Safety Coordinator where appropriate.

**Desirable knowledge & skills**
- Previous experience of facilities management
- Previous experience of Reception/front of house
This role will require some manual handling (training will be provided). There will also require you to be a Fire Warden and be part of the emergency response team which if desired can include first aid training. Personal development is important to us and will support further training that aligns with this role.

Pay: £23,500.00 per year
