Service Coordinator

Following the launch of a new regional office and associated restructuring of our busy Service Department, Bartlett are seeking a highly motivated and organized Service Coordinator to join our team. In this role, you will be responsible for overseeing and coordinating various aspects of our service operations. Your primary goal will be to ensure efficient and timely delivery of services to our clients while maintaining high quality standards of administration and completing process which our customers require.
**Key Responsibilities**:
**Service Scheduling and Coordination**:
- Develop and maintain efficient scheduling systems to ensure effective resource allocation.
- Coordinate with engineers and clients to schedule appointments and ensure timely service delivery.
- Monitor engineer schedules and dispatch them to appropriate service calls.
**Client Communication**:
- Interact with clients to provide updates on service requests, schedules, and any potential issues.
- Address client enquiries and concerns promptly and professionally.
- Maintain strong client relationships through effective communication and problem-solving.
- Monitor service quality and ensure adherence to company standards and procedures.
- Track service performance metrics and identify areas for improvement.
- Collaborate with engineers to help resolve any technical issues or challenges.
**Administrative Tasks**:
- Telephone answering
- Manage and maintain accurate records of service requests, work orders, and client information, create scans of delivery notes/commissioning sheets/waste transfer notes etc.
- Generate reports on service performance, client satisfaction, and other relevant metrics.
- Generate compliance reports for customer records, FGAS, gas safe certificates etc.
- Assist with invoicing processes, parts returns, warranty calls and maintenance records.
**Qualifications and Skills**:
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Attention to detail and ability to multitask.
- Problem-solving and decision-making abilities.
- Experience in customer service or a related field.
- Technical aptitude (preferred).

The work schedule for this role is 40 hours per week, Mon-Fri and will be based at our Exeter office.

Pay: £24,945.00-£27,100.00 per year
