We have a vacancy for a Band 3 Clinical Team Administrator to work as part of our busy CAIST under 18's Crisis Team within Children's, Families & Young Persons Service's.This is a full-time permanent position, based at 80 St Stephens Road in Norwich.
You will need to be able to demonstrate the strength of your communication, prioritisation and administration skills at the same time as showcasing your knowledge of IT systems. You will be able to evidence a flexible response to the teams needs and the ability to think creatively. Experience of working to deadlines, on your own initiative and maintaining strict confidentiality are also essential.
We are looking for team members to compliment our existing Business Support Team, working primarily across our core hours of 9am to 5pm Monday to Friday, however this is negotiable. This role will require working closely together with clinical colleagues to provide an efficient service to our patients.
- Provide accurate, prompt and efficient secretarial/administrative support to the management team which may include Power Point presentations / spreadsheets including complex reports.
- To raise agendas, take and process minutes for teams
- Use electronic systems to input and access information as required by the clinical multi-disciplinary team.
- Maintaining Filing systems as per Trust Policy and Procedures
- Deal with and process all types of patient referrals liaising directly with General Practitioners, clinical staff including medical staff from other areas.
- Liaise with clinical team members in relation to urgent referrals or other emergencies.
- To provide flexible support and cover across the Locality Teams as indicated by Service need and under direction of Locality Business/ Administration Manager.
- To undertake any other appropriate tasks as requested by the Locality Business/ Administration Manager to meet the needs of the Service

- Experience of working in a busy office
- Taking and processing referrals via phone and online
- Extensive knowledge of all Microsoft packages
- Dealing efficiently and politely with both internal colleagues and external patients in a confidential and confident manner
- Professional exceptional interpersonal customer service skills with a dedication to confidentially are essential
