Our client is a local council who are looking for an Administrator to support a team of 6 in respect of keeping up to date records within the estate management system across the whole commercial residential and operational portfolio

**MAIN DUTIES**
- To provide effective financial and general administrative support to the Commercial Services Team including diary management, organising meetings
- To provide administrative support in managing service charge recovery and rent arrears - commercial or residential.
- To organise rent payments and maintain an overview of rent arrears and rent grants.
- To act as systems administrator for the Estates Management IT system (Concerto) and to enter data and run reports as requested
- To liaise and work with Finance and Payments to ensure all invoices are paid in a timely manner
- To ensure correct cleansed data of the system and follow all legislation procedures including GDPR and be part of the GDPR working group
- Maintain an up-to-date procedure manual for the Team ensuring all aspects relating to the administration duties are captured
- Work closely with both the Portfolio Manager and Facilities and Contracts Manager to deliver the administrative aspects across the whole portfolio.
- Work with the Facilities Contracts Manager to keep up to date contracts register and contacts along with the administration duties of running the Civic Centre
- Work with the Sales and Lettings Manager to put on the estate management software the assured shorthold tenancies for the residential portfolio.

**KNOWLEDGE & EXPERIENCE**
- Sound previous experience of working in an administrative role with a strong financial element
- Practical experience of using financial management systems
- Ability to prepare documents including tenancy documents and report
- Previous administrative experience of dealing with rent payments and oversight of rent arrears
- A background in working in an estates management administrative role
- Proficient at Microsoft Office
- Good verbal and written communication skills
- Knowledge of GDPR
