**Position**:
We are seeking a Business Coordinator for an Engineering Consultancy based in Ivybridge, the role involves working closely with the Directors and Associate Directors providing administrative functions and logístical support required for running the business.

**Responsibilities**:
Quality Management System (QMS ISO 9001) / Investors in People (IIP):
Periodically review QMS and IIP documentation/processes and issue updates to staff

Regularly track Company performance data and report to management

Produce the annual Management System Review (MSR) and review the Business Continuity Plan (including Risk Register)

Develop annual QMS audit schedule and carry out monthly internal audits as per schedule

Liaise with external auditors

Assist Management in achieving ISO 14001 accreditation.

Health & Safety:
Provide assistance to H&S Director to ensure Company compliance (e.g. review H&S policy annually, etc.)

Distribute newsletters / videos provided by H&S Consultant to staff to ensure high profile of H&S throughout

Human Resources / Staff Training:
Maintain personnel files / records and produce HR correspondence to staff

Manage any recruitment requirements and carry out inductions of new staff

Liaise with Accounts regarding salary changes / other changes in working hours, etc.

Periodically review/maintain Company Policies for compliance and issue revisions to staff

Manage Staff Review Schedule and alert Department Heads when reviews are required. Collate actions from Staff Reviews and check actions have been completed

Liaise with Directors and Department Heads regarding staff training requirements and maintain staff skills matrix

Assist Directors/Associate Directors in managing training schemes and monitoring staff progress and act as the ICE Training Scheme Administrator (TSA).

Marketing / Business Development:
Liaise with Board of Directors to produce Business Plan and Marketing Strategy

Co-ordinate marketing initiatives

Produce and post social media items (Twitter / LinkedIn / Facebook) - at least weekly

Assist in the production of pages for the website and News Feed as well as other Company marketing material

Check website statistics on Google Analytics.

IT Co-ordination:
Liaise with IT Consultant (GSL) to maintain Company IT system (hardware and software) RAG list. Advise Board of Directors of any new equipment/software required.

Buildings & Assets:
Assist Board of Directors in maintaining a RAG list of works to be carried out

Manage the list of equipment for calibration.

Other Duties:
Complete research on behalf of the Board of Directors

Taking minutes at Directors and Associate Directors meetings including managing of related records

Director support: including typing letters / reports and assisting in the arranging of CPD events and presentations

Assist Directors with Company accreditations

Assist in the historic documentation scanning programme

Provide lunchtime / holiday / sickness cover to other Admin Staff.

**Skills, knowledge and experience required**:
Excellent communication, organisation and interpersonal skills

Good business judgement, discretion and confidentiality

Experience in internal auditing and the management of a QMS to current ISO 9001

In-depth knowledge of Microsoft Office software.

**Beneficial but not required**:
Experience in ISO 14001 management

Experience in using Work Flow Max and Xero software.

**Salary**: £22k - £24k pro-rata (depending on experience).

Hours: 25 hours/week - 5 hours/day Monday to Friday with an element of flexibility to suit business requirements. There may be the opportunity to go full-time in the future

Contract: Permanent with an initial six-month probation period.

Benefits: 28 days contractual holiday plus 8 days Bank Holidays pro-rata, Company Pension & Private Health Care upon completion of probation period.

**Salary**: £22,000.00-£24,000.00 per year
